Summary:
The Medical Record Clerk supports medical record operations across Cardiology, GI, Pathology, PACU, and other departments as needed. This role ensures all patient records are properly processed, digitized, and maintained in compliance with Department of Defense (DoD) standards and healthcare regulations.
Key Responsibilities:
- Prepare, scan, and index medical records with a high degree of accuracy
- Perform quality control checks on scanned documents to ensure readability, completeness, and proper orientation
- Upload verified records into electronic health systems (e.g., MHS GENESIS)
- Maintain and file patient documentation according to established procedures
- Retrieve and distribute records across hospital departments
- Ensure compliance with HIPAA and protection of PHI/PII
- Maintain strict confidentiality of all patient information
- Prepare records for off-site storage, including boxing and indexing
- Assist with record tracking, reporting, and statistics
- Retire records in accordance with regulatory guidelines
Minimum Qualifications
- High School Diploma or GED required
- Basic knowledge of medical terminology
- Minimum of 6 months of relevant healthcare experience within the past year
Preferred Qualifications
- Experience working with electronic health record systems (e.g., MHS GENESIS)
- Prior experience in a hospital or clinical records environment
Physical Requirements
- Ability to stand, walk, sit, and bend for extended periods
- Must be able to lift and carry 25–50 pounds
- Ability to use step ladders and reach high shelving
- Extensive walking required throughout hospital units
Compliance Requirements
- Must comply with HIPAA and all federal, state, and local regulations
- Must safeguard Protected Health Information (PHI) and Personally Identifiable Information (PII)
