JOB PERFORMANCE STANDARD – Property Manager - Market Rate Apartments
EMPLOYMENT CLASSIFICATION: Full-time, permanent, salary, exempt
SKILLS, KNOWLEDGE AND PERSONAL CHARACTERISTICS:
The following attributes are desirable for job success: experience in managing/leasing multi-family properties, certification in the multi-family (ARM, CAM, etc.), bookkeeping experience, ability to communicate effectively, safety conscious, ability to assess others performance, preference for detail work, ability to work well under pressure, self-motivation and self-direction, ability to work with/without direct supervision and the ability to be a team leader.
SUMMARY OF FUNCTIONS:
Responsible for all operations of the apartment community including the oversight of leasing, lease administration, rent collections, accounts payable, payroll, maintenance, and grounds operations, apartment turnover, project management, resident relations, and resident retention.
MAJOR DUTIES AND RESPONSIBILITIES:
Duties include, but are not limited to:
1) Rent collections – Responsible for the timely collection of all rental receipts including rent, late fees, utilities, and other fees.
2) Eviction and Lease Termination – Responsible for turning over delinquent rental accounts to the attorney to file a rent and possession suit. Responsible for the fair and consistent enforcement of our Lease Agreement.
3) Collection Agency – Responsible for turning over Past accounts that owe a balance.
4) Maintenance – Responsible for supervision of the maintenance team including routine, emergency, preventive, special projects, and turnover maintenance.
5) Grounds Maintenance – Responsible for the oversight and condition of all grounds and common area spaces. Ensure grounds team is working from a pre-arranged production list. Paying close attention to litter and weed control, flowerbed maintenance, watering, blowing tour routes and main entrance and special grounds projects.
6) Move Out Processing/Inspection – Responsible for the processing move outs and inspecting units for move out inspection, assessing damages, developing make ready maintenance and contract turnover.
7) Apartment Turnover Scheduling – Directly responsible for the timely and efficient scheduling of apartment turnover including the maintenance prior, carpet, painting, resurfacing, cleaning, and scheduling of pre-occupancy inspections. Responsible for conducting routine inspections of vacant units during the turnover process and completing the final market ready inspection prior to pre-occupancy inspection. Responsible for updating Yardi with market ready unit condition to ensure availability of unit is current in Rent Café.
8) Payroll – Review all electronic timesheets for accuracy and completeness. Approve timesheets for final review by corporate.
9) Accounts Payable – Responsible for all aspects of the Accounts Payable process.
10) Purchasing – Responsible for reviewing and approving all purchase requests.
11) Special Projects – Responsible for overseeing projects are planned and completed in a timely manner.
12) Leadership, Management & Oversight – Responsible for providing strong leadership to the entire property team with an emphasis in training and mentoring team members to be best they can be.
13) Mentoring, Training, and Leadership – Be an effective trainer, mentor, and leader of his/her on-site team. Developing strong interpersonal relationships with your management team and team members is critical to fostering a good team environment.
14) Resident Relations – Required to foster a strong and positive resident relations program that will encourage great customer service by all team members. Priority of serving our residents to the best of our abilities must be instilled in all team members and reflective in managements priorities.
15) Resident Retention – Retaining residents is one the highest priorities of the team. Long term residents are more profitable to the business and provide for a strong foundation of the property. Every effort should be made to retain our residents that pay their rent on-time and follow the community rules. This priority must be communicated and shown in practice to all team members.
16) Risk Management/Safety – Responsible for completing risk assessment inspections of the grounds, buildings, and common area spaces and address any safety issues such as dead tree limbs overhanging buildings, parking lots, or walkways. Trip hazards on steps or concrete walkways, non-operational lighting, non-operational self-locking doors, general disrepair of buildings and common area spaces. Responsible for conducting monthly safety meetings in accordance with company policy.
17) Management of all Rent Café Processes including online electronic leasing, move ins, and lease renewals.
18) All Other Duties as Assigned
Supervisory responsibilities – The property manager is the senior manager in charge of all operations from an on-site perspective. He/She reports directly to the Assistant General Manager. The property manager is responsible for maintaining good order and discipline of all team members on property and applying the corrective action program in a fair and consistent manner.
ORGANIZATIONAL RELATIONSHIPS:
Reports directly to the General Manager. Must maintain a good working relationship with management, support staff, co-managers within the organization, subordinate team members, vendors, contractors, police, inspectors, housing authority personnel, and other stakeholders.
OTHER REQUIREMENTS:
Hours of Work: 8:30 a.m. to 5:00 p.m., Monday through Friday. On-call for phone call emergencies on a 24/7 basis.
Amount of Overtime: Salaried, exempt.
Physical requirements: Must be able to perform the physical functions of the position, which may include, but are not limited to ability to walk property, including flights of stairs, to complete physical inspections, deliver resident communications, and show apartments. Be able to effectively communicate with residents, staff, supervisors, vendors, etc. Must be able to lift a minimum of 30 lbs. to facilitate vacuuming, moving office furniture & lifting of supplies as needed.
Experience: Five years of related property management experience.
Education: College degree in business or related field preferred. High school diploma is required.
Pre-Employment Screening: Must pass a criminal background check and drug screening.
Residency: Residency is not required, but must meet requirements for residency in the community for which they have applied.
Must have a reliable vehicle to perform various management tasks and errands, including driving to managed to property and meetings. Must have proof of liability insurance.
Bondable and Valid Driver’s License.
