Our client, a respected and growth-oriented investment management firm, is seeking a Financial Operations Specialist/Client Service Associate to support operational excellence and deliver an exceptional client experience. This role is integral to the day-to-day efficiency of the firm, overseeing a broad range of administrative, operational, and client-facing responsibilities.
The Financial Operations Specialist will help ensure the seamless execution of financial transactions, maintain regulatory compliance, and serve as a key contributor to a high-performing, collaborative team environment. The ideal candidate is proactive, highly detail-oriented, and thrives in a fast-paced setting where accuracy, responsiveness, and professionalism are essential.
Key Responsibilities
- Serve as the primary liaison between clients, advisors, and custodians to facilitate account servicing and operational requests.
- Schedule and coordinate client meetings, internal reviews, and team briefings.
- Prepare and process new account documentation, asset transfers, and money movement requests (e.g., wires, ACH, checks).
- Monitor and follow up on client service requests, ensuring timely and accurate resolution.
- Assist Portfolio Managers with client onboarding, reporting, and ongoing account maintenance.
- Potential to assist with data entry and other tasks to support Portfolio Managers in various financial planning and client management software systems.
- Draft professional correspondence, reports, and presentations for internal and external stakeholders.
- Maintain and update CRM systems, ensuring data accuracy and completeness.
- Collaborate with compliance and operations teams to ensure adherence to regulatory requirements.
- Support internal audits and assist with documentation for regulatory reviews.
- Manage special projects and contribute to process improvement initiatives.
- Provide backup support for front office operations and administrative functions.
Qualifications & Requirements
- Bachelor’s degree in finance, Business Administration, or related field preferred; Associate’s degree required.
- Minimum 3 years of experience in financial services, wealth management, or investment operations.
- Strong understanding of financial instruments, account types, and transaction processing.
- Proficiency in financial software platforms (e.g., CRM systems, portfolio management tools, trading platforms).
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional written, verbal, and interpersonal communication skills.
- Demonstrated ability to prioritize tasks, manage multiple projects, and meet deadlines.

Salary : $60,000 - $80,000
