About the Role
PCS is seeking a highly organized and detail-oriented Operations Coordinator to support both office operations and project execution.
This role is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and wants to play a key role in keeping projects and daily operations running smoothly. You will work closely with project managers, estimators, field teams, vendors, and clients to ensure efficient workflows, accurate documentation, and successful project delivery.
What You'll Do
Office Administration & Operations
- Manage incoming calls, emails, and office correspondence
- Coordinate office needs including maintenance, supplies, mail, and equipment repairs
- Maintain office inventory (supplies, uniforms, materials)
- Organize and maintain administrative systems and records
- Coordinate travel arrangements as needed
- Support day-to-day operational needs across the organization
Project Closeout Support:
- Coordinate and track multiple active projects simultaneously
- Maintain accurate project documentation, files, and records
- Set up and manage project folders (drawings, scopes, reports, etc.)
- Assist with project closeouts
- Ensure projects follow company processes and documentation standards
Cross Functional Coordination
- Act as a liaison between Operations and Accounting for invoicing and job costing
- Collaborate with internal teams, vendors, and clients to support project success
- Assist with additional operational and administrative initiatives as the role evolves
