Role Summary

As the Financial Systems Administrator, you will own the day‑to‑day administration and evolution of our core financial systems and integrations stack. You’ll work with key tools like NetSuite, MuleSoft (or equivalent iPaaS) and our supply‑chain/fulfillment systems, including a homegrown shipments & fulfillment platform as well as tools used by Accounting & FinOps such as FloQast, Navan and Brex. You’ll collaborate broadly across Finance, Accounting, Operations, IT/Engineering and other business units. Because ProducePay is rapidly scaling, this role calls for adaptability, responsiveness to change, clear communication and the ability to translate business needs into technical solutions.

Key Responsibilities

  • System Administration & Configuration
    • Administer NetSuite: user roles & permissions, workflows, customizations (custom O2C billing and payment application modules and scripts, SuiteFlow, SuiteScript as applicable), dashboards, saved searches, reporting.
    • Monitor, maintain, continue to integrate, and troubleshoot MuleSoft (or other middleware) integrations between NetSuite and upstream/downstream systems (e.g., CRM such as Salesforce, homegrown shipment/fulfillment system, Bedrock AFS (or equivalent), FloQast, Navan, Brex).
    • Ensure data integrity, reconcile discrepancies, monitor system performance, logs and error queues related to financial systems and integrations.
  • Integration Management & Change Oversight
    • Partner with Engineering/IT teams, business stakeholders (Accounting, FinOps, Operations) to understand, design, implement and maintain integration flows, both off‑the‑shelf and custom.
    • Maintain documentation of data flows, system dependencies, mapping, transformation logic, error handling and audit trails.
    • Drive change management and release coordination impacting finance systems, ensuring minimal disruption to month‑end/year‑end processes, ensuring stakeholder communication and training.
  • Finance System Projects & Continuous Improvement
    • Lead projects (tool onboarding, process automation, migration, upgrades) within the finance/operations tech stack.
    • Identify and implement process improvements (eliminate manual work, enhance automation, improve controls, streamline workflows) across the Accounting and FinOps teams.
    • Develop and maintain system‑related documentation, training materials and user support resources.
  • Stakeholder Support & Cross‑Functional Collaboration
    • Serve as the go‑to partner for Accounting, FinOps, Ops, Treasury, IT when systems issues arise, responding promptly and clearly.
    • Facilitate training and onboarding of system users, explain changes to non‑technical stakeholders, gather feedback to drive enhancements.
    • Work cross‑functionally with teams in growth mode, helping align systems to evolving business model, enabling fast scaling. 
  • Controls, Compliance & Data Governance
    • Support internal control frameworks related to financial systems and integrations.
    • Maintain secure handling of financial data and system access, ensure audit readiness for system logs, configurations, change history.
    • Assist with risk assessment, system compliance and data governance initiatives in a high‑growth startup context.
  • 3‑5 years of hands‑on experience administering NetSuite in an environment with multiple integrated systems.
  • Proven experience with MuleSoft or similar integration platforms (iPaaS) connecting financial/operational systems.
  • Demonstrated ability working with tools such as Salesforce, FloQast, Navan, Brex (or similar) and integrating them with an ERP like NetSuite.
  • Strong understanding of accounting/finance processes (GL, AR/AP, procurement, billing, inter‑company, etc.).
  • Excellent problem‑solving/troubleshooting skills; ability to translate business needs into systems/integration solutions.
  • Great communicator: able to explain technical concepts to non‑technical stakeholders, craft training, collaborate cross‑functionally.
  • Comfortable in a rapidly scaling startup environment: able to manage change, prioritize tasks, adapt as requirements evolve.

Nice‑to‑Have:

  • Experience in a fintech, agtech, or high‑growth startup environment.
  • Experience with homegrown or custom‑built fulfillment/shipment systems.
  • Prior experience with SuiteScript, SuiteFlow, or other NetSuite customization.
