Role Overview
We are looking for an experienced Operations Coordinator to serve as the organizational backbone of our office. In this role, you will oversee the day-to-day functioning of our workplace, support our production teams, and ensure that staff — from full-time employees to freelance collaborators — have everything they need to do their best work. This is a hands-on, people-facing role that requires strong judgment, a proactive mindset, and a genuine commitment to keeping things running smoothly.
Key Responsibilities
- Manage procurement and inventory of office supplies, anticipating team needs and maintaining appropriate stock levels
- Plan, coordinate, and execute office activities and events, ensuring seamless logistics from start to finish
- Facilitate onboarding for new full-time and freelance employees, serving as a welcoming first point of contact and ensuring a smooth integration into the workplace
- Serve as the primary liaison with IT consultants, triaging issues and coordinating timely resolutions
- Oversee relationships with shared office service providers, including facilities, cleaning staff, and the on-site café
- Coordinate on-site operational support for production teams, including supply logistics and space management
- Manage ongoing job postings and conduct preliminary resume screening to support active hiring efforts
- Vet production assistant candidates and oversee staffing and scheduling of production assistants for events
- Coordinate production travel logistics, including accommodations, transportation, and itinerary management
What We're Looking For
- 5 years of experience in office management, operations, or a related administrative role
- Exceptional organizational skills and the ability to manage multiple priorities simultaneously
- Strong interpersonal and communication skills; comfortable interfacing with staff at all levels as well as external vendors and contractors
- A proactive, solutions-oriented approach to problem-solving
- Proficiency with standard office and productivity tools
- Experience supporting creative or production teams is a plus
Compensation
- Base salary: $75,000-$85,000, commensurate with experience
