Duties
- Manage day to day office tasks, communicating with contractors and clients with professionalism and warmth
- Manage and staying on top of emails, incoming text/calls, and provide prompt, courteous customer support
- Maintain accurate data entry using tools like Clock in software, Microsoft Office, and Google Workspace for record-keeping, pay statements, and scheduling
- Oversee office management tasks such as data entry, creating documents, and keeping office organized when necessary to ensure a clutter-free and professional workspace
- Run errands, schedule appointments, order supplies, assist in time tracking, manage calendars & work orders, and coordinate meetings efficiently for staff and clients
- Assist with payroll and bookkeeping duties including basic bookkeeping tasks.
- Support administrative functions such as copying, scanning, mailing, and managing office correspondence with precision
- Provide clerical support including typing reports, proofreading documents, and maintaining organized filing systems
- Handle customer inquiries via phone, text, or email with excellent phone etiquette and professionalism
- Tasks are not limited to this list, additional duties assigned as needed.
Experience
- Proven experience in office administration or clerical roles with a strong background in office management
- Prior experience working at a front desk or as a receptionist is highly desireable
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry skills
- Excellent organizational skills with the ability to multitask effectively
- Demonstrated customer service experience with professional phone etiquette and support skills
- Bilingual abilities are preferred to assist diverse clients and team members effectively but not required
