As our operations continue to grow, we are seeking a detail-oriented and dependable Office Assistant to support daily administrative and operational functions.

Position Overview

The Office Assistant plays a vital role in ensuring the smooth day-to-day operations of Process Server One. This position provides administrative, clerical, and customer support to both internal staff and external clients. The ideal candidate is highly organized, proactive, and capable of managing multiple tasks in a fast-paced office environment. The Office Assistant will serve as a key point of contact for incoming communications, assist with document handling, and support coordination between clients, process servers, and management.

This role requires a high level of professionalism, attention to detail, confidentiality, and strong communication skills. The Office Assistant contributes directly to client satisfaction and operational efficiency by ensuring accurate recordkeeping, timely responses, and effective office organization.

Key Responsibilities

Administrative Support

  • Provide general administrative and clerical support to management and operations staff
  • Answer and direct incoming phone calls, emails, and inquiries in a professional and courteous manner
  • Maintain office calendars, schedules, and appointments
  • Assist with data entry, document preparation, and file management
  • Draft, format, and proofread correspondence, reports, and internal documents

Client Communication & Customer Service

  • Serve as a primary point of contact for clients, attorneys, and legal professionals
  • Respond to client inquiries regarding service requests, status updates, and general information
  • Coordinate communication between clients and process servers to ensure accurate service execution
  • Maintain a professional and helpful demeanor in all client interactions
  • Escalate urgent matters or client concerns to appropriate team members

Document Handling & Case Support

  • Receive, review, and organize legal documents for service of process and court filings
  • Ensure documents are complete, accurate, and properly logged into internal systems
  • Assist with preparing affidavits, proofs of service, and related documentation
  • Organize and maintain physical and digital files in compliance with company standards
  • Ensure confidentiality and security of sensitive legal information at all times

Operations & Coordination

  • Assist with assigning service requests to process servers and tracking job progress
  • Monitor service deadlines and follow up as needed to ensure timely completion
  • Update case statuses and notes in internal databases or case management systems
  • Support coordination between office staff, field servers, and management
  • Assist with quality control by reviewing completed work for accuracy and completeness

Office Management & Organization

  • Maintain a clean, organized, and professional office environment
  • Monitor office supplies and place orders as needed
  • Assist with basic office equipment maintenance and troubleshooting
  • Support onboarding of new employees or contractors with paperwork and orientation materials

Billing & Recordkeeping Support

  • Assist with invoice preparation, billing entries, and payment tracking
  • Maintain accurate client and case records
  • Support basic bookkeeping or accounting tasks as assigned
  • Ensure documentation is properly filed and retained according to company policies

Compliance & Professional Standards

  • Follow all company policies, procedures, and ethical guidelines
  • Ensure compliance with legal service requirements and confidentiality standards
  • Handle sensitive information with discretion and professionalism

Qualifications

Required Qualifications

  • High school diploma or equivalent (Associate’s degree or higher preferred)
  • Previous experience in an administrative, office assistant, or clerical role
  • Strong written and verbal communication skills
  • Proficiency with computers, email, and office software (Microsoft Office or similar)
  • Excellent organizational and time-management skills
  • Ability to multitask and prioritize tasks effectively
  • Professional appearance and demeanor

Preferred Qualifications

  • Experience working in a legal, professional services, or administrative environment
  • Familiarity with legal terminology, court documents, or case management systems
  • Customer service experience with professional or corporate clients
