About This Role:

This position is primarily taking care of our customers via phone and email.

Schedule: Monday-Friday 830am-5pm, or 730-4pm

How You Will Make an Impact:

As a Customer Care Coordinator you will play a key role in ensuring our customers enjoy a seamless, stress-free experience. You’ll work closely with both our Sales, Service and Installation teams, overseeing the customer and jobs are taken care of from start to finish.

Responsibilities:

  • Support Customers – Act as the main point of contact, guiding customers through every step of the booking process.
  • Drive Revenue -Maintain strong conversion rates and strategically schedule for maximized revenue and efficiency
  • Manage Logistics – Manage technician schedules, coordinate with contractors, vendors and oversee all moving parts of pending jobs to ensure smooth, on-time service visits.
  • Streamline Processes- Assist customers with financing, payments, permitting, Mass Save rebates, and scheduling to eliminate confusion and hassle.
  • Build Trust- Maintain open communication, address concerns, and ensure customer satisfaction
  • Optimize Operations-Support dispatch, administrative tasks, minor marketing tasks and keep projects on track.

Qualifications

  • Proven experience in customer service, answering phones, scheduling, or coordination roles, preferably in residential HVAC, construction, or a similar industry.
  • Excellent verbal and written communication abilities.
  • Excel with phone booking conversions and objection handling
  • Ability to thrive in a fast-paced, results-driven environment.
  • Highly organized with exceptional attention to detail and follow-through.
  • A friendly, solution-oriented mindset with leadership qualities.
  • Open to feedback and eager to improve.
  • Ability to coordinate multiple projects simultaneously while maintaining attention to detail.
  • Strong problem-solving skills with the capacity to make decisions under pressure.
  • Knowledge of HVAC systems is a plus, but not required.
  • Proficiency with scheduling software (preferably Service Titan) and MS Office Suite.
