The Operations Manager will oversee and optimize all logistics operations to ensure the seamless execution of audiovisual events and projects. This position plays a critical role in supervising logistics personnel, managing inventory and fleet assets, developing vendor relations, and collaborating with internal departments to maintain high standards of service delivery. The ideal candidate is highly organized, solutions-driven, and capable of managing both people and processes in a fast-paced, deadline-oriented environment.

Key Responsibilities:

Strategic Logistics & Operations

  • Open the warehouse daily in coordination with the Warehouse Lead to ensure timely start of operations
  • Provide support during operational hours, off-hours, weekends, and pop-up events as needed
  • Ensure warehouse access and readiness during load-ins, load-outs, and time-sensitive event prep
  • Act as the primary operational point of contact during after-hours or last-minute project needs
  • Partner with the Warehouse Lead to maintain communication and coverage during non-standard hours
  • Work directly with the Director of Logistics to strategically plan, implement, and manage logistics, warehouse, transportation, and inventory systems.
  • Coordinate and monitor the movement of equipment, materials, and personnel for events and projects.
  • Ensure timely and cost-effective delivery of AV equipment and labor through planning and execution of shipping, permits, and routing.
  • Review and manage purchase orders, shipping documents, and transportation contracts to ensure accuracy and efficiency.
  • Maintain vendor and supplier relationships; negotiate and secure cost-effective contracts and service agreements.

Strategic Gear Allocation

  • Maintain a bird’s-eye view of all active and upcoming events to optimize gear allocation based on what is best for the company as a whole, rather than prioritizing individual event needs.
  • Collaborate with project managers (PMs) to ensure inventory usage aligns with broader operational goals, while maintaining flexibility for unexpected changes

Inventory & Overbooking Management

  • Oversee all aspects of inventory control, including tracking equipment usage and location across events.
  • Equipment and product management via Intellievent.
  • Conduct regular cycle counts and inventory audits to ensure equipment accuracy and availability.
  • Implement best practices for warehouse efficiency and equipment maintenance in line with company QC standards.
  • Regularly run detailed reports to identify overbooked items within the inventory management system and proactively coordinate resolutions.
  • Execute logistics reports to identify gear ‘pinch points’—critical items that are scheduled for rapid turnaround between events and may not be flagged by standard inventory checks.
  • Ensure proactive scheduling of gear transfers and QC (Quality Control) procedures between tight event timelines.

Data-Driven Procurement & Maintenance Oversight

  • Run regular reports on Purchase Orders (POs), sub-rentals vs. owned gear, and evaluate cost-effectiveness of rental vs. purchase decisions.
  • Initiate purchase requests by staying up to date on new gear trends, identifying commonly sub-rented or unavailable gear, and proactively recommending acquisitions.
  • Monitor and report on maintenance and damage logs, ensuring timely repairs or replacements to reduce downtime and improve reliability.
  • Identify opportunities for continuous improvement in gear utilization, acquisition strategies, and logistics workflows.

Fleet Management

  • Manage company vehicles and fleet operations, including maintenance schedules, usage logs, permits, and compliance with transportation regulations.
  • Assign fleet resources based on event and labor needs.

Employee Scheduling, Management & Training

  • Supervise logistics coordinators and support staff, providing guidance, performance feedback, and professional development opportunities.
  • Develop and publish weekly employee schedules, adjusting in real time for changes or pop-up events.
  • Oversee employee timekeeping, leave requests, and shift coverage in coordination with the payroll unit.
  • Conduct regular training sessions for warehouse, logistics, and AV team members to maintain quality and safety standards.
  • Lead customer service standards and represent company values through effective team leadership.

Event Support & AV Contract Coordination

  • Work with Project Managers, Event Producers, and clients to coordinate and secure equipment, labor, transportation, accommodations, and other event components.
  • Generate quotes, respond to client inquiries, and ensure AV needs are met for successful meetings and productions.
  • Participate in on-site or remote event support as needed, including creating show books and overseeing on-site logistics execution.
  • Ensure that flow sheets, billing, scheduling, and inventory documentation are completed accurately and in a timely manner.

Reporting & Administration

  • Create, present, and submit regular reports on logistics performance, inventory, staffing, and project execution to senior management.
  • Ensure compliance with all internal policies, health and safety standards, and operational procedures.

As Operations Manager, you are a leader within Pro AV and a key representative of our core values. Your physical presence in the office and warehouse is essential — not only to oversee daily operations, but to influence culture, support the team, and ensure consistent, high‑quality execution. You lead from the front by being accessible, engaged, and hands-on. Your presence sets the tone for performance, professionalism, and responsiveness.

You will be expected to:

  • Uphold high standards, ensuring our teams and systems deliver premium service at every event

The Operations Manager plays a vital role in scaling our business while maintaining the high-touch, high-quality service that defines Pro AV. Your leadership will help drive the company forward as we grow into a nationally recognized name in the AV industry.

Qualifications:

  • High School Diploma required; Bachelor’s Degree in Logistics, Operations Management, or related field preferred.
  • 5 years of experience in logistics, supply chain, or audiovisual operations, with at least 2 years in a supervisory or managerial role.
  • Proficient in scheduling software, inventory management tools, and Microsoft Office Suite including Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, data manipulation)
  • Minimum solid working knowledge of Excel
  • Excellent communication, leadership, and problem-solving skills.
  • Valid driver’s license with a clean driving record required for roles involving company vehicle use.
  • Familiarity with audiovisual equipment and event production is strongly preferred.
