We're seeking a detail-oriented Accounts Payable Clerk to join our accounting team on a part-time basis (20–25 hours per week). This position is ideal for an experienced professional who values accuracy, organization, and flexible part-time work within a collaborative, small-team environment.
You'll manage payables for three legal entities using QuickBooks Desktop and play an important role in the company's upcoming transition to QuickBooks Online. The right candidate will be comfortable working in a structured accounting environment, balancing multiple priorities, and communicating clearly with vendors and colleagues.
Key Responsibilities:
- Receive, review, and enter vendor invoices into QuickBooks Desktop
- Match invoices to purchase orders and verify pricing, quantities, and approvals
- Prepare and process check runs and electronic payments based on management approval
- Monitor accounts payable activity and aging reports across multiple entities
- Record and reconcile cash disbursements, credit-card transactions, and intercompany accounts
- Maintain organized vendor files and ensure timely issue resolution
- Support the upcoming transition from QuickBooks Desktop to QuickBooks Online
- Assist with month-end closing tasks and reconciliations as needed
Qualifications:
- Associate's degree or equivalent experience in Accounting, Finance, or related field
- 2 years of accounts payable or general accounting experience preferred
- Strong proficiency with QuickBooks Desktop; familiarity with QuickBooks Online a plus
- Experience managing accounts for multiple legal entities strongly preferred
- High attention to detail, accuracy, and organization
- Ability to manage multiple priorities and meet deadlines
- Proficiency in Microsoft Excel and other basic accounting tools
Preferred Skills:
- Knowledge of purchase-order systems and three-way matching
- Experience with credit-card and bank reconciliations
- Understanding of accrual-based accounting principles
- Experience with inventory-tracking systems a plus
- Strong written and verbal communication skills
Schedule & Work Environment:
- Part-time (20–25 hours per week)
- Must be on-site for the first 180 days; some remote flexibility may be considered afterward
- Requires at least 3 days per week in-office during this period; additional scheduling flexibility available as long as total weekly hours are met
