Overview
The Surgery Consultant plays a pivotal role in guiding patients through their cosmetic surgery journey. This position works closely with our plastic surgeon and is responsible for managing the full consultation pipeline - from initial inquiry and patient education to post-consultation follow-up and surgical scheduling.

Primary Responsibilities
Patient Education & Consultation Management
- Manage all surgical and non-surgical inquiries, including initial education, scheduling consultations, and guiding patients through the decision-making process.
- Educate patients on treatment plans, payment options, physician/provider/facility credentials, and procedure details.
- Provide before-and-after photos, testimonials, and referrals to help patients make informed decisions.
- Ensure every patient is fully prepared for their consultation and surgery with all necessary information, instructions, and expectations.
- Review potential post-operative scenarios and assist with financial questions or concerns.
Pre- and Post-Operative Coordination
- Serve as the main point of contact for patients throughout their pre- and post-operative experience.
- Schedule surgical procedures, pre-op clearances, post-op visits.
- Prepare and coordinate all paperwork, labs, and other clinical documentation required for surgery.
- Relay all necessary pre-procedure communication between patients and providers in a timely manner.
Sales, Scheduling & Follow-Up
- Conduct consistent, timely follow-up via phone, email, and text to convert consultations into booked surgeries.
- Schedule solid consultation appointments for the surgeon and fill cancellations as needed.
- Generate surgery quotes, collect fees (surgical, facility, anesthesia), and process payments accurately and promptly.
- Reach out to patients who did not schedule surgery to identify barriers and offer alternative solutions (injectables, skincare, or laser services).
- Maintain ongoing communication to ensure a personalized, high-touch experience, including pre-op greetings and post-op check-ins.
Tracking, Reporting & Data Management
- Track inquiries, conversions (inquiry → consult → surgery), cancellations, no-shows, rescheduled appointments, and financial qualification trends.
- Prepare weekly, monthly, and quarterly reports for management as requested.
- Maintain accurate patient accounts, personal information, financial data, and documentation within the practice management software.
- Ensure all paperwork and communications are properly documented and uploaded to patient charts.
Front Office & Patient Experience Support
- Greet and assist patients, maintain schedules, and ensure appointments run smoothly.
- Provide patients with instructions, new-patient paperwork, and visit preparation materials.
- Address patient anxieties or concerns and support patients experiencing distress or emergencies.
- Notify providers of patient arrivals and alert them of any delays.
Marketing & Practice Growth
- Promote injectable, esthetic, laser, and skincare services across the practice.
- Generate referrals through existing patients, ambassadors, and external partners such as beauty professionals or other healthcare providers.
- Assist with internal marketing initiatives, website content, general collateral, and practice events or seminars.
- Attend events and consultations to support patient acquisition and growth.
Compliance, Professionalism & Team Collaboration
- Follow HIPAA guidelines, maintaining strict confidentiality of all medical and financial information.
- Communicate patient questions or concerns to physicians and clinical staff as needed.
- Perform front office duties, including imaging, answering phone calls, and scheduling support.
- Demonstrate the ability to multitask, and the ability to adapt quickly to additional tasks assigned by management and collaborate effectively in a team-oriented environment.
- Exercises considerable judgment in working with confidential matters and data.
