Overview
This role blends high-level household management and personal assistance.
We are a mid-30’s couple starting a family.
Your job is to anticipate our needs, execute with quality control, and thrive in dynamic, fast-reacting, on-demand environments.
You’ll be responsible for making every aspect of our personal and family life operate with the consistency and elegance of a five-star hotel — from exceptional events and seamless travel to the comfort and readiness of our homes.
Core ResponsibilitiesHousehold Management
- Oversee household operations with an emphasis on organization, comfort, and hospitality. The family home should feel like a 5-star hotel — from the small things like making sure cardboard boxes are broken down and taken away, taking out trash when full and folding towels you see, to prepping the sauna for friends and
- Coordinate landscapers, handyman service and other staff and contractors to maintain the home and grounds. All equipment should be in working order at all times.
- Maintain the household organization system — storage, pantry, supplies, gifts, and inventory — to create a consistently “guest-ready” environment.
- Manage scheduling and oversight of repairs, inspections, and maintenance (pool, pond, spa/sauna, landscaping & irrigation, etc.). Learn to maintain the pond pumps & filters.
- Ability to occasionally lift and move up to 50 pounds (packages)
- Feed animals onsite: chickens, ducks, koi pond fish. Coordinate additional animal help as needed.
Event Coordination
- Coordinate and execute events ranging from small dinners and friend game night gatherings, to 30 person private events and parties. Sometimes with little notice!
- Handle all logistics, vendor management, guest communications, RSVPs, and follow-ups with impeccable organization and discretion.
- On-site for hosted events to assist with setup, guest flow, and teardown as needed. Ensure events at home conclude with full cleanup.
Travel Coordination
- Own travel logistics for the couple, family, and occasional guests — including flights, lodging, ground transport, and activities.
- Navigate changing itineraries and group dynamics with calm efficiency.
- Track travel preferences and manage last-minute changes smoothly.
Personal & Executive Administrative Support
- Handle a range of administrative tasks including email communications, scheduling, bill payment, and professional event follow-ups.
- Coordinate gifts, thank-you notes, and special occasions.
- Send emails on behalf of the couple with judgment and discretion.
- Run errands and coordinate deliveries.
Ideal Candidate Profile
- Experience: 3-5 years in a high-functioning PA, House Manager, EA, Chief of Staff, or hospitality operations role supporting executives, families, or high net worth (HNW) individuals.
- Style: Professional, polished, and relentlessly organized. Calm under pressure, with excellent judgment and an anticipatory mindset. Non-judgmental.
- Personality: Kind, discreet, and service-oriented. Never rude. Not to guests, nor vendors.
Skills:
- Expert at travel and event logistics
- Strong written and verbal communication
- Confident managing vendors and staff, doesn’t need oversight to “get things done”
- Tech-savvy and comfortable across digital tools (Google Suite, Apple Products, Sonos, Projector set-up, password managers, etc.)
Requirements:
- Valid U.S. passport and driver’s license
- Clean background and credit check
- Signed nondisclosure agreement
Work Schedule and Availability
This role requires consistent availability with variable daily workload. Many days or weeks will be flexible and involve less than a full day of work, but the position is a high-availability role, including night or weekend help as needed (almost always with notice).
Primary Expectations
- Standard business hours, with flexibility for occasional evening and weekend hours to support planned events.
- Five workdays per week; typical workload ranges from 25 to 45 hours.
- Weekend work, when required, will be offset with a weekday off.
- Remote work OK with prior approval.
Time Off
- 20 days of paid time off annually, plus eight holidays or equivalent days.
- PTO requires at least two weeks’ advance notice and accrues quarterly.
Compensation
$30-50/hour, experience required
