Position Overview
We are seeking a highly organized and detail-oriented Investment Support Assistant to provide administrative support to a busy Investor Relations team. This is not a traditional marketing role—the firm has a dedicated marketing department responsible for creating marketing materials. Instead, this position focuses on supporting the day-to-day operations of the Investor Relations team by coordinating meetings, conferences, communications, and administrative activities that ensure a high level of client service.

Key Responsibilities
- Manage shared Investor Relations team inboxes and coordinate correspondence.
- Schedule meetings, maintain calendars, and coordinate logistics for internal and external meetings.
- Organize conferences, client events, roadshows, and meeting logistics.
- Ensure presentation materials are printed, organized, assembled, and set up in conference rooms prior to meetings.
- Coordinate conference registrations, travel arrangements, and meeting schedules.
- Prepare meeting agendas and organize materials for client meetings and presentations.
- Maintain accurate contact information and client records within CRM systems.
- Track conference attendees, manage RSVP lists, and assist with follow-up communications.
- Support day-to-day administrative activities for the Investor Relations team, ensuring deadlines and deliverables are met.
- Collaborate with internal teams to coordinate meeting logistics and operational support.
- Assist with reporting, spreadsheets, and general administrative projects using Microsoft Office applications.
- Recommend process improvements that enhance team efficiency and organization.
- Provide additional administrative and operational support as needed.
Qualifications
- Bachelor's degree required.
- 1–3 years of experience in administrative support, executive support, client services, project coordination, or a related role.
- Experience supporting executives, client-facing professionals, or investment teams is highly preferred.
- Experience using CRM platforms such as Salesforce is a plus.
- Strong proficiency in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
- Outstanding organizational and time management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities while maintaining accuracy in a fast-paced environment.
- Professional, polished demeanor with strong interpersonal skills.
