Position Overview
We are seeking an experienced Assistant to support our advisors and client service team with administrative and operational tasks. This role is ideal for a seasoned professional with prior experience in wealth management, financial services, or related fields who enjoys a mix of client service and detailed back-office support work — without the demands of a full-time schedule.
You’ll play a key role in ensuring smooth operations, maintaining accurate client records, and helping deliver a consistently high level of client service.
Key Responsibilities
- Provide administrative and operational support to advisors and client service associates.
- Prepare, process, and track client paperwork, including new account forms, transfers, and updates.
- Manage client data, documentation, and communications using CRM and portfolio management systems.
- Assist with money movement requests, client reporting, and follow-up communications.
- Help coordinate client meetings, prepare materials, and track action items.
- Ensure all client and firm activities adhere to compliance and recordkeeping standards.
- Support marketing and client communication efforts (mailings, newsletters, or updates).
- Contribute to process improvement initiatives and help streamline workflows.
Qualifications
- 5 years of experience in financial services, wealth management, or related administrative support roles.
- Familiarity with custodians such as Schwab, Fidelity, or Pershing preferred.
- Exceptional attention to detail, discretion, and organizational ability.
- Excellent written and verbal communication skills.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook) and CRM systems.
- Comfortable managing competing priorities and working independently within a small team.
- Professional, courteous, and client-service oriented.
- Bachelor’s degree preferred but not required.
