We are looking for a dynamic individual with 3 - 5 years experience in the apparel production, product development, pre-production coordination or sample room management. The Pre-Production Coordinator supports the Design, Product Development and Sales Departments by managing the flow and tracking of apparel samples, both in-house and from overseas. This role ensures apparel samples are organized, shipped, and received on time throughout all stages of development.
Serving as a vital link between design, sourcing, development, and production teams, the coordinator facilitates clear communication, maintains accurate technical information, and ensures smooth daily operations within the sample room and the broader product development process.
Responsibilities:
Coordinate lab dips, trims, and strike -offs throughout the development process.
Upload and maintain accurate data in material and sample tracking systems. Provide clear and organized material information to all necessary teams to minimize errors and delays.
Collaborate closely with design and product development teams to ensure alignment on product progress.
Issue cut tickets for line samples to the in-house sample room.
Prepare new pattern and sample requests for in-house cutting and sewing, including gathering fabric swatches and trims from vendors and assembling them with patterns for production.
Request line samples from overseas vendors and factories promptly.
Review sample requests to ensure completeness and accuracy before handing them off to relevant departments.
Track, receive, and distribute line samples to the appropriate teams.
Follow up on missing samples with the in-house sample room and overseas suppliers through email and other communication channels.
Maintain continuous communication with the sample room and overseas vendors to ensure timely sample delivery.
Organize in-house sample racks for use in photo shoots, meetings, and reviews.
Open and process incoming sample packages daily, notifying team members of received items.
Assist with general office organization, tracking tasks, and reporting.
Support all calendar-based development activities to keep the production timeline on track.
Skills & Abilities:
3–5 years of experience in apparel production, product development, pre-production coordination, or sample room management.
Strong knowledge of garment construction, fabrics, trims, and manufacturing timelines.
Experience with sourcing materials, BOMs, and quality control.
Proficiency in Excel and MS Office; Adobe Illustrator is a plus.
Excellent organizational and time management skills with keen attention to detail.
Ability to analyze and track multiple production elements accurately.
Capability to manage multiple projects in a fast-paced, deadline-driven environment.
Strong verbal and written communication skills for effective liaison with vendors, factories, and cross-functional teams.
