The Property Manager is responsible for the overall management of site operations and supervision of maintenance of the physical property. This role will facilitate teamwork and cooperation with other site staff.

 

CORE RESPONSIBILITIES

  • Maintain a positive attitude and professional demeanor in keeping with the objectives of Prism Real Estate Services (PRES).
  • Demonstrate a neat and clean appearance in accordance with the PRES dress code.
  • Practice regular and predictable attendance in the office (this is not a remote position).
  • Follow instructions, meet deadlines, and apply constructive feedback.
  • Adhere to safety protocols and established procedures.
  • Track time worked accurately and honestly per established handbook policies and software.
  • Display excellent communication skills (written and verbal).
  • Check and respond to emails daily. Follow up on unfinished matters and see them through to completion.
  • Complete tasks through detailed examination with a priority on accuracy.
  • Use initiative to adapt to task, project, and organizational changes with a flexible mindset.
  • Maintain effective organizational practices regarding personal space, files, and record-keeping.
  • Multitask a variety of projects at a fast pace with appropriate prioritization.
  • Utilize reliable transportation for commute and occasional local errands. Provide proof of a valid driver’s license and active auto insurance for a personal vehicle.
  • Meet PRES standards regarding a criminal background check.
  • Successfully complete compliance-related courses at hire and pass additional required courses annually or more frequently as requested (Fair Housing, Cyber Security, Discrimination, Sexual Harassment, etc.).
  • Personify PRES values and positively contribute to PRES culture to help PRES achieve our mission.

 

ESSENTIAL FUNCTIONS & PHYSICAL REQUIREMENTS

  • Occasionally lift and carry office supplies, files, or equipment weighing up to 25 pounds.
  • Walk the property or location as well as up and down stairs up to 10 times a day.
  • Remain in a stationary position (sitting or standing) for prolonged periods of time.
  • Climb stairs, move equipment, and assist with evacuations in emergencies.
  • Use hands and fingers to operate a computer keyboard, mouse, phone, and other office equipment.
  • Visually inspect the property with close vision, distance vision, color vision, and depth perception.
  • Hear alarms, instructions, equipment, and tenant needs in person and over communication devices.
  • Utilize computer systems and electronic devices for accurate timekeeping, reporting, communication, etc.
  • Understand, speak, and write fluently in English.
  • Maintain focus and attention to detail in an open office environment with regular interruptions.

 

SPECIFIC DUTIES

  • PROPERTY ADMINISTRATION
    • Maintain courteous communication with residents, applicants, and representatives of other companies.
    • Show vacant apartments and maintain a high level of continued occupancy by leasing in a timely manner.
    • Check resident applications information and references through credit and criminal investigation services.
    • Complete Rental Agreements.
    • Obtain prices and place advertisements in the appropriate publications.
    • Establish and maintain a waiting list.
    • Prepare and monitor site budget and expenses to ensure spending is within guidelines.
    • Process invoices for correctness, accuracy, and proper coding.
    • Post charges associated with work orders and late charges, and generate notices for residents.
    • Follow up on delinquent accounts, pursue collections, and update DQ notes on a weekly basis.
    • Complete move-in and move-out inspections on HappyCo.
    • Complete and submit incident reports for all events that may involve injury and/or property damage.
    • Submit WOSR weekly.
    • Send and post all notices regarding compliance with rules and regulations when a violation occurs.
    • Maintain the property office in a neat and orderly manner with regularly scheduled office hours.
    • Post regularly on Facebook and Loft.
    • Perform Assistant Property Manager and Leasing Professional roles as needed.
  • RESIDENT RELATIONS
    • Counsel residents who do not comply with the terms of the lease and are delinquent with rent payments.
    • Resolve conflicts and complaints among residents, if possible, in order to avoid grievances.
    • Recommend eviction if resident behavior warrants, and prepare related documentation.
    • Participate in hearings and appeals as needed.
  • GENERAL MAINTENANCE
    • Oversee maintenance of the grounds, trash container areas, dog stations, and common areas.
    • Maintain the make-ready process and update the make-ready board.
    • Be sure all vacant apartments are cleaned immediately and made ready for showing and occupancy within 3-5 days after move out, unless involved in a renovation.
    • Log all resident complaints and dispatch maintenance personnel promptly.
    • Be available at all times, either personally or through other site personnel, for emergency calls.
    • Conduct quarterly inspection reports in HappyCo.
    • Participate in Capital Project meetings, inspections, and final punch.
  • STAFF SUPERVISION
    • Participate in pre-employment interviews and make hiring recommendations.
    • Interpret and apply personnel policies, departmental policies, and other relevant policies and procedures.
    • Review time and leave reports for assigned staff and enter them into UKG.
    • Train or assist in training other site personnel.
    • Prepare and review performance and discuss with subordinates as appropriate.
    • Counsel employees regarding job performance, document concerns, and request disciplinary action as needed.

 

KNOWLEDGE, SKILLS, & ABILITIES

  • Knowledge of and adherence to PRES policies and procedures.
  • Knowledge and effective operation of PRES equipment and software (computer, tablet, phone, fax, scanner, copier, payroll & timekeeping software, position-specific software, etc.).
  • Ability to communicate verbally and in writing with clarity and professionalism.
  • Ability to make sound decisions and worthwhile recommendations within the position’s scope of responsibility, creatively problem solve, and think on the spot.
  • Ability to establish and maintain effective working relationships with stakeholders (co-workers of all levels, tenants, residents, clients, community service agencies, vendors, investors, public, etc.).
  • Ability to meet communicated deadlines and effectively manage stress.
  • Ability to work independently and follow detailed instructions.
  • Ability to effectively utilize Word, Excel, Outlook, SharePoint, and other Microsoft Office applications.
  • Knowledge of Department of Housing and Urban Development ("HUD") rules and regulations that apply to property management.
  • Knowledge of laws and standards that apply to property management, such as Fair Housing Laws, Landlord-Tenant Laws, OSHA Standards, and local and state building codes. 
  • Knowledge of the agencies that aid and services to residents, including some knowledge of eligibility requirements.
  • Ability to effectively utilize property management software, such as Onesite, Knock, and HappyCo.
  • Ability to respond to and overcome closing objectives
  • Ability to use independent judgment and maintain confidentiality. 

 

STANDARD REQUIREMENTS & QUALIFICATIONS

  • High School Diploma or equivalent.
  • Previous experience in property management (5 years).
  • Verification of ability to work in the US (E-Verify).
