Prism Property Group is a growing residential and multifamily property management company serving Montgomery County and the surrounding Southeastern Pennsylvania region. We provide professional property management, leasing, maintenance coordination, and owner services for investors and landlords.
We are seeking an organized, detail-oriented Office Manager / Property Management Coordinator to help oversee the day-to-day administrative and financial operations of the company.
ResponsibilitiesAccounting & Financial Administration- Process tenant rent payments and owner disbursements
- Manage accounts payable and accounts receivable
- Monitor tenant balances and assist with rent collections
- Perform monthly bank reconciliations
- Maintain accurate financial records within AppFolio
- Assist with preparation of owner statements and financial reports
- Track vendor invoices and company expenses
- Maintain tenant, owner, lease, and property records in AppFolio
- Assist with lease administration and renewals
- Coordinate maintenance requests and vendor scheduling
- Support move-in and move-out processes
- Communicate with tenants, owners, and vendors regarding property-related matters
- Answer incoming calls and respond to emails
- Maintain electronic and physical filing systems
- Assist with scheduling appointments and coordinating office operations
- Prepare documents, correspondence, and reports
- Support company leadership with administrative projects as needed
- Maintain online rental listings
- Assist with property marketing and leasing materials
- Coordinate listing updates and promotional efforts
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Basic bookkeeping or accounting knowledge
- Professional phone and customer service skills
- Ability to manage multiple priorities and meet deadlines
- Ability to work independently and take initiative
- Experience with AppFolio or other property management software
- Experience in property management, real estate, bookkeeping, or office administration
- Associate's or Bachelor's Degree preferred
