Job Description

BASIC FUNCTION: This role bears primary responsibility for front office presentation, patient reception, and general administrative support. Manages patient requests with professional savvy and sophistication, outstanding reliability, and unsurpassed attention to detail.

RESPONSIBILITIES:

Front Desk Administration: (In accordance with policies & procedures)

  • Act as a primary resource to welcome patients and visitors by greeting them in person or on the telephone. Includes answering or referring patient inquiries and checking for insurance cards and photo IDs.
  • Answer multi-line telephone in a courteous and professional manner within 3 rings. Promptly transfer or deliver taken messages to their intended parties, inclusive of caller name, call back phone number, reason for call, and date/time of call receipt.
  • Escort patients to the appropriate treatment or procedure room, ensuring a premium experience in our office on every occasion. This includes the offer and preparation of requested refreshments and regular follow-ups on patient satisfaction.
  • Optimize patients' satisfaction, provider time, and treatment room utilization by scheduling requested appointments in accordance with best practices. Maintain patient appointments on schedule by notifying clinician of patient's arrival and ensuring room sterilization and turnover as patients’ depart.
  • Maintain exceptional Front Office presentation and ensure HIPAA-compliant confidentiality of all patient information.
  • Maintain patient electronic records by obtaining, recording, and updating personal information both in health medical record and on master patient files.
  • Re-confirm all annual exam, phlebotomy, and pre-scheduled follow-up appointments 24 hrs. prior to anticipated patient arrival.
  • Sort and distribute incoming mail.
  • Openly support other appropriate business needs and corporate priorities as designated by Director of Operations, COO, or physician staff.

Facility Oversight:

  • 7:30 am arrival to open office, check exam rooms for cleanliness and stocking, and make any necessary preparations for anticipated daily patient activity.
  • Responsible for coordinating pharmaceutical samples and managing supply with incoming representatives from the vendor community and in accordance with defined office guidelines.
  • Helps maintain business office and kitchen supplies and inventory, anticipates need and place expedited orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs.
  • Act as primary liaison between building management, janitorial and maintenance services on behalf of office needs.
  • Responsible for weekly coordination with 3rd party contractors including quality control and inventory management.

Physician & Patient Administrative Support:

  • Coordinate and manage patient experience for in-house and out-of-office subspecialty scheduling and care arrangement needs (as requested), acting as liaison between the medical community and Priority Physicians’ patients.
  • Manage appointments, contact patients, and confirm all scheduled appointments.
  • Convey all phone messages as needed to physicians.
  • Provide timely administrative support to Priority Physicians’ clinicians as requested, including transmission of medical records to subspecialty offices prior to our patients’ appointments. May also be asked to assist in the obtainment of prior authorizations from insurance companies for outpatient procedures, imaging, and prescription drugs to ensure the highest level of reimbursement for our patients.

Skills Required:

Must be intrinsically service-oriented and genuinely warm and inviting during all interactions with members/visitors. This team member must possess excellent communications skills, be extremely detail-driven, and self-motivated to achieve at the highest level. Must be proactive and effective at problem solving, multi-tasking, and prioritization; be able to effectively and courteously answer multi-line telephone; work with initiative and with little or no supervision; be punctual and reliable, and must be proficient in use of EMRs and Microsoft Office Suite, including Excel, Word, and Outlook.

Education and Experience:

High school diploma required; college degree and comparable job experience preferred. Requires knowledge and understanding of general office procedures, computers and relevant software applications. Ideal candidate will possess at least three years prior experience in a corporate or medical office environment.
