WARD CLERK - CERTIFIED (67588)

The Ward Clerk provides essential administrative and clerical support to the nursing unit in a nursing home and rehabilitation facility. This certified role helps ensure smooth daily operations by managing documentation, communication, and coordination between nursing staff, residents, families, and other departments.

Administrative & Clerical Duties

• Answer phones and route calls appropriately

• Greet residents, families, visitors, and staff in a professional manner

• Maintain resident charts (paper and/or electronic)

• File, copy, scan, and organize medical and administrative documents

• Enter and update resident information in the facility’s system

Nursing Unit Support

• Assist nursing staff with clinical tasks

• Prepare admission, discharge, and transfer paperwork

• Maintain census and bed board information

Communication & Coordination

• Communicate with nursing staff, therapy, dietary, housekeeping, and admissions

• Notify appropriate staff of changes, orders, or requests

• Assist with scheduling appointments and transportation as needed

Supplies & Unit Organization

• Maintain clean and organized nurses’ station

• Report equipment or supply needs to appropriate personnel

Compliance & Confidentiality

• Follow HIPAA and facility confidentiality policies

• Adhere to infection control and safety procedures

• Maintain professionalism and respectful behavior at all times

Required

• High school diploma or GED

• CERTIFIED CNA 

• Basic computer skills (typing, data entry, email)

• Ability to multitask in a fast-paced healthcare environment

• Strong communication and organizational skills

Preferred

• Previous experience in healthcare, long-term care, or clerical role

• Familiarity with electronic health records (EHR)

• Customer service experience
