Princeton Property Management is seeking an experienced Assistant Manager for the Parkmeadow Apartments located in Keizer Oregon.

 

Position Details:

  • Schedule: 30 Hours Per Week - Monday - Friday - 10 a.m. to 5 p.m. 
  • Wage: $24 to $26 an hour, based on experience
  • Monthly Reimbursement: Phone $25
  • Bonus Opportunity: Quarterly, monthly 
 

Assistant Community Manager

Job Summary

The Assistant Community Manager works collaboratively with the Community Manager and onsite team to support the successful day-to-day operation of the apartment community. This position assists with leasing, resident relations, administrative and financial functions, marketing, property operations, and maintaining accurate community records, while helping ensure the community operates in accordance with Princeton Property Management policies and procedures and applicable Fair Housing, safety, and other regulatory requirements.

Minimum Qualifications

  • High school diploma or equivalent.
  • Must be legally authorized to work in the United States.
  • Must meet the company's background screening requirements.
  • Valid driver's license, current automobile insurance, and reliable transportation.
  • Ability to communicate effectively and professionally, both verbally and in writing.
  • Basic mathematical and financial skills.
  • Proficiency with computers and the ability to learn property management, accounting, payroll, and other company software systems.
  • Strong organizational skills with the ability to prioritize responsibilities and maintain accurate records.
  • Ability to provide professional and courteous customer service to residents, prospective residents, vendors, and coworkers.
  • Ability to work independently and collaboratively in a team environment.

Essential Duties and Responsibilities

Leasing & Prospective Resident Services

  • Greet prospective residents, respond to inquiries, provide accurate community information, and conduct property and apartment tours.
  • Maintain current knowledge of rental rates, pricing, vacancies, apartment availability, lease expirations, community amenities, and other information necessary to effectively assist prospective and current residents.
  • Respond to and follow up with telephone, electronic, and in-person inquiries in accordance with company policies and applicable Fair Housing requirements.
  • Complete guest cards and other required prospect documentation and accurately enter leasing traffic into the appropriate system.
  • Obtain completed rental applications and required supporting documentation from prospective residents.
  • Submit completed application materials for screening in accordance with established company procedures.
  • Assist approved applicants with required leasing documents and move-in processes.
  • Refer prospective residents to other Princeton Property Management communities when appropriate.
  • Complete required leasing and traffic reports accurately and timely.

Marketing & Community Outreach

  • Assist with marketing available apartment homes and community amenities.
  • Maintain accurate and current online advertising and property information assigned.
  • Ensure advertising and marketing materials are accurate, professional, nondiscriminatory, and compliant with applicable Fair Housing requirements and company policies.
  • Obtain required approval for advertising and marketing materials.
  • Maintain working knowledge of neighborhood amenities, services, transportation, shopping, schools, and other resources relevant to prospective residents.
  • Complete market surveys as assigned, generally on a quarterly basis or as business needs require.
  • Assist with resident retention efforts, community events, and resident activities.

Resident Relations

  • Provide professional, responsive, and courteous service to residents.
  • Assist with resident questions, requests, concerns, and other community matters, escalating issues to the Community Manager when appropriate.
  • Assist with the coordination and organization of resident activities and community events.
  • Maintain appropriate confidentiality regarding resident, applicant, employee, and company information.

 Administrative & Financial Responsibilities

  • Maintain accurate, organized, and current property files, records, and documentation.
  • Collect rent, fees, deposits, and other amounts due in accordance with company procedures.
  • Process and prepare deposits and banking as required.
  • Accurately enter information into property management, accounting, payroll, and other company systems as required.
  • Complete assigned reports, documentation, and administrative responsibilities accurately and within established deadlines.
  • Assist the Community Manager with move-ins, move-outs, apartment turnover processes, and other property operations.

Property Operations

  • Assist with maintaining the overall appearance and curb appeal of the community.
  • Walk the property and/or inspect apartment homes as assigned.
  • Accompany vendors and contractors to resident apartments or other areas of the property when necessary.
  • Communicate maintenance concerns and property needs to the appropriate team member or supervisor.
  • Assist the Community Manager with operational responsibilities and special projects as assigned.

Company & Compliance Responsibilities

All onsite employees are expected to:

  • Attend required meetings, training sessions, and educational programs.
  • Complete required training courses within established deadlines.
  • Follow Princeton Property Management policies, procedures, and standards.
  • Comply with applicable Fair Housing laws and other federal, state, and local requirements related to the position.
  • Follow OSHA requirements, company safety policies, and established workplace safety procedures.
  • Understand the location and appropriate use of Safety Data Sheets (SDS), hazard communication information, and GHS labeling applicable to the workplace.
  • Accurately and timely complete required timekeeping and payroll entries.
  • Maintain reliable and punctual attendance. Regular attendance is an essential function of this position.
  • Work the established schedule for the position. Overtime or additional hours must be authorized in accordance with company policy.
  • Maintain professionalism and effective working relationships with residents, prospective residents, coworkers, vendors, contractors, and members of the public.

Employees in this position may be required to:

  • Frequently sit, stand, and walk for varying periods throughout the workday.
  • Walk throughout the property, including on stairs and uneven surfaces.
  • Occasionally climb stairs, step stools, or ladders up to approximately six feet.
  • Bend, reach, stoop, crouch, kneel, twist, push, and pull as necessary to perform assigned duties.
  • Use hands, wrists, and arms for grasping, handling, typing, and manipulating objects and equipment.
  • Lift, carry, push, or pull items weighing up to 25 pounds.
  • Perform duties both indoors and outdoors and work in varying weather conditions when necessary.
