Executive Assistant, C-Suite
Location: New York City, NY (Financial District)
Schedule: Full-Time | Monday–Friday | 8:30 AM – 5:30 PM | Onsite
Compensation: $114-145K/year, DOE

Key Responsibilities
- Own a fast-moving calendar spanning internal leadership, board-related matters, and external stakeholders
- Plan and execute complex travel itineraries — flights, ground transportation, hotels, and dining — for both domestic and international trips
- Track and reconcile monthly expenses; run periodic audits on prior reports
- Serve as a first point of contact by phone and email, exercising judgment on what needs the executive's attention
- Coordinate confidential, high-sensitivity meetings, including matters involving outside legal counsel
- Prepare materials for meetings — decks, printed binders, agendas — and manage room setup/breakdown including catering and AV coordination
- Run point on virtual meeting logistics, including admitting attendees and troubleshooting in real time
- Handle registration and logistics for external conferences and events for the executive and select leadership team members
- Support onboarding logistics for new hires joining the leadership office
- Manage day-to-day personal scheduling needs (medical appointments, personal errands, etc.)
- Deliver a morning and end-of-day rundown covering priorities, outstanding items, and status updates
- Greet and escort visiting clients and guests
- Maintain organized, secure filing of confidential documents and records
- Provide backup support to other members of the leadership team as needed
What We’re Looking For
- Bachelor’s Degree
- 4 years supporting senior executives in a corporate setting; financial services, insurance, or similarly regulated industry strongly preferred
- A track record of stable, long-term Executive and Administrative Assistant roles
- Comfortable being reachable outside of standard business hours via phone/Teams when needed
- Sharp with Outlook, Teams, Word, Excel, and PowerPoint
- Naturally discreet, calm under pressure, and confident interfacing with senior leadership and clients alike
- Polished, business-formal presentation for a highly visible office environment

Salary : $114,000 - $145,000
