Job Description
- Manage the full document control process for the project, including creation, organization, and maintenance of physical and digital project folders.
- Assign document and drawing numbers according to established protocols and maintain accurate logs.
- Ensure timely distribution of project information to internal teams, subcontractors, and external stakeholders.
- Maintain quality documentation, including drawings, RFIs, submittals, and registers.
- Coordinate updates and revisions to project drawings in Procore and other document management systems.
- Establish and maintain a comprehensive project library and material listings.
- Monitor compliance with document control procedures, project requirements, and company policies.
- Implement improvements to document management processes and support adoption of new systems.
- Train employees and project teams on document control procedures and system usage.
- Track and manage Procore Submittals and RFIs, ensuring timely responses, revisions, and resubmissions.
- Assist with internal audits, inspections, and reporting to ensure accuracy, efficiency, and cost control.
- Communicate updates to document control procedures and coordinate with Project Managers/Design Managers.
- Maintain signature authority matrices and other compliance documentation.
- Support corporate policies and company strategic objectives.
- Perform additional assignments as directed by management.
Job Requirements
- Associate’s degree preferred; equivalent work experience considered.
- Minimum 3 years of experience in document control or related field.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) and Primavera Contract Manager.
- Experience with Procore or similar document management systems.
- Strong organizational, multi-tasking, and communication skills.
- Ability to work effectively in a team environment.
- Ability to read, write, and manage correspondence accurately.
- Physical requirements: sitting, standing, walking, reaching, stooping, kneeling; occasionally lifting up to 10 lbs; vision for close work and peripheral awareness.
- Willingness to travel to project sites as required.
