What are the responsibilities and job description for the Bookkeeper position at Prince Plastic Surgery?
We are a fast-paced, upscale plastic surgery and medical aesthetics practice in Little Rock. Our team is small and collaborative, and we take pride in running a clean, well-organized operation. We are looking for a meticulous bookkeeper to own the accuracy and integrity of our financial records; someone who is organized, proactive, and deeply comfortable working independently in QuickBooks.
Core responsibilities
DAILY & WEEKLY
- Enter all bills, invoices, and vendor charges into QuickBooks and the EMR system promptly and accurately
- Record all payments - checks, ACH, credit card, and AMEX charges to the correct expense accounts
- Reconcile vendor invoices against purchase records; identify and flag duplicate entries or discrepancies
- Ensure credits, rebates, and adjustments are applied correctly and in the correct period
- Maintain clean, organized records for all accounts payable and vendor accounts
- Run a weekly transaction summary report for owner review
MONTHLY
- Reconcile all bank and credit card accounts by the 5th of the following month
- Prepare and deliver a clean monthly P&L report — both cash and accrual basis
- Oversee accounts receivable, daily deposits, and credit balance accuracy
- Review expense categories for unusual variances or entries lacking supporting documentation
- Verify all vendor bills are recorded once and only once — flag any invoice numbers appearing more than once
- Prepare a monthly expense summary broken down by category
ONGOING
- Maintain the chart of accounts; ensure all transactions are coded correctly
- Communicate proactively with the physician when something looks off
- Liaise with our external CPA at tax time and provide clean, organized records
- Suggest process improvements when patterns of error or inefficiency arise
Required qualifications
- Minimum 3 years of bookkeeping experience
- Proficient in QuickBooks Online — this is required (certification a plus)
- Strong understanding of both cash and accrual accounting methods
- Detail-oriented with a strong eye for duplicate entries and reconciliation discrepancies
- Able to work independently with minimal supervision
- High ethical standards, discretion, and integrity
Preferred qualifications
- Associate's or Bachelor's degree in Accounting or related field
- Experience in a medical, dental, or aesthetics practice
