The Prince George’s County Police Department is currently seeking qualified applicants to fill an Administrative Aide 3, Grade P17 position, in the Bureau of Patrol.
About the Position
This is highly responsible and advanced secretarial/administrative work designed to relieve the Records Management Division Manager and Assistant Manager of administrative detail. Work at this level is distinguished from the II level by lead work responsibilities and more involvement in coordinating and manage office activities. Incumbents are required to apply a good working knowledge of the programs under supervisor's control to the solution of procedural and management problems.

Examples of Work
- Prepare correspondence for the Division.
- Review incoming mail to ensure that it has gone through the chain of command as necessary, reroutes mail to the appropriate commanders/managers for approval.
- Maintain a mail log to document incoming/outgoing correspondence in order to track the current status and ensure a timely response and prompt completion of assignments.
- Receive callers and visitors and answer a variety of questions regarding operational procedures without direct or immediate supervision.
- Develops, organizes, and implements methods and procedures to produce effective/efficient day-to-day office operations.
- Administer and maintain payroll and time record sheets for members of the Division’s command staff and prepare and transmit these records.
- Prioritize and highlight time sensitive material for immediate review.
- Answers telephone calls and greet visitors courteously and professionally while ascertaining information for prompt, clear delivery of messages.
- Possess a thorough knowledge of departmental organization, General Orders, policies, and procedures.
- Regularly consults and exchanges information regarding priorities, progress or problems and recommends appropriate actions.
- Prepare various reports for the division accurately and in a timely manner.
- Completes approved purchase utilizing an assigned P card and appropriately maintains purchasing documentation, completing reconciliation paperwork on time and in accordance with appropriate protocols.
Qualifications
Minimum Qualifications
Candidates must meet all minimum qualifications listed below to be eligible for additional consideration:
- Successful completion of probationary period of nine (9) months at the Administrative Aide II level
- Associates degree in Business Administration or Secretarial Science
- One (1) year of advanced diverse and/or technical clerical experience which involved working with the public, office management and operational details.
Preferred Qualifications
- Previous experience performing administrative duties
- Comprehensive knowledge and experience utilizing Microsoft Office – Word, Excel, Outlook, and PowerPoint Prior customer service skills

Conditions of Employment: Upon selection, the candidate must (where applicable):
- Pass an administered Administrative Aide exam. Applicants who have previously taken and passed the exam on or after 8/1/2024 will not be required to re-test. Previous passing test scores will be applied.
- Must possess and maintain a valid driver’s license.
- Must be willing to adjust work schedule to include working Saturdays and Sundays
- when required.
- Meet all training and performance standards and demonstrate proficiency as required by the agency.
- Wear and use agency protective apparel and equipment in the performance of their assigned duties.
- Successfully pass preemployment checks which may include reference checks, background investigations, and drug screenings.
- Be willing and able to serve as an essential employee. Essential employees are expected to report during standard or non-standard hours as operations necessitate, or during emergencies. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave.
