The Prince George's County Office of Law is currently seeking qualified applicants to fill a Receptionist (Clerk Typist 1G), grade G9 position, in the Administrative Support division.

About This Position

This is an entry level clerical position requiring proficient typing skills, to act as the Agency receptionist, processing and distributing incoming mail, and managing in-person visitors and onsite meetings. The clerical duties are routine and varied. Instructions are provided for new or complex assignments. Work is performed under close supervision. Upon the satisfactory completion of the probationary period, Clerk Typist I may, at the discretion of management, be promoted to Clerk Typist II.

About The Agency

The mission of the Office of Law is to provide the County government and its agencies, boards and commissions with cost effective, quality representation in all matters requiring legal advice and review, to diligently and fairly enforce the civil laws of the County, and to be responsible and proactive in providing legal services and advice to our clients. The Office of Law is comprised of three divisions, each of which is supervised by a Deputy County Attorney. The divisions are Litigation, Transactional, and Government Operations.

Examples of Work

  • Receives incoming telephone calls and greets visitors for the County Attorney's Office, in a pleasant and courteous manner.
  • Records telephone messages and verbal messages accurately for office staff and/or meeting participants, and delivers messages appropriately and promptly via telephone, email, text or other applicable available platforms.
  • Coordinates any necessary in-person meetings with Agency personnel promptly and appropriately, in accordance with established protocols.
  • Greets and announces all meeting participants, promptly notifying necessary office staff of arrivals.
  • Answers routine questions/inquiries pertaining to the Agency, directs and re-directs constituents over the telephone or in person to the appropriate department or Agency.
  • Maintains knowledge of functions of the office, in addition to other County departments, agencies and personnel to ensure referrals are correct.
  • Receives, opens, logs and distributes all incoming mail, including facsimiles. Keys information into the mail tracking logs on the Agency file management system software.
  • Receives/retrieves incoming mail/deliveries as necessary.
  • Examines and records / distributes all incoming daily correspondence daily to proper designated individuals.
  • Keeps office staff aware of any changes to mail room procedures in relation to outgoing mail, maintains inventory of mail supplies for office use.
  • Searches file management system to address inquiries concerning receipt of incoming mail.
  • Assures inquiries are promptly directed to proper individual.
  • Performs tasks and duties Willingly and cooperatively, which may not be specifically listed in the class specification or position description but are within the general occupational category and responsibility level typically associated with the employee's class of work.

Qualifications

  • High school diploma or G.E.D. certificate.
  • Three (3) months of general clerical experience.

Any equivalent combination of relevant training, education and experience may also be considered.

Preferred Qualifications

  • One (1) year of varied clerical experience.
  • Proficient in typing (on typewriter or word processor),
  • Good knowledge of general office procedures.
  • ability to perform office routines and follow standard operating procedures.
  • Good oral and written communication skills, with correct usage of grammar, spelling and punctuation.
