Job Description

Dynamic Office Admin/Coordinator – Coffee Distribution Company

Looking for an energetic, "get it done" person to manage our office and coordinate our service and delivery team. We are a coffee distribution and service company that is always investing in our team and pushing for excellence. Looking for someone who is comfortable on the phone, managing a team, and thrives in a fast pace environment. The perfect candidate is someone who wants to grow within the company while growing their income. Looking for a leader!

Job Type: Part Time

Schedule:

  • Monday to Thursday (occasional Fridays)
  • Mornings, 8-hour shift
  • 32-36 hours a week
  • Flexible hours

Must have a great attitude, positive personality, and great people skills!

Looking for someone who is upbeat, energetic, and a hard worker to keep up with the pace and engage with our customers!

Someone with experience in scheduling, managing, front/back office, reception, or event coordination is a plus, but not required. We will train the right candidate for the job!

Key Responsibilities:

  • Administrative Responsibilities
    • Serve as the primary point of contact for customers via phone, email, and in person.
    • Provide administrative support to the President.
    • Assist with basic accounting tasks, including accounts receivable, accounts payable, and collections.
    • Handle shipping and receiving, including processing freight deliveries.
    • Maintain accurate customer and vendor account information.
    • Build and maintain strong relationships with customers and vendors.
    • Ensure the office remains well-stocked, clean, and organized.
  • Product Coordination
    • Coordinate the delivery team and plan efficient delivery routes.
    • Process customer product orders accurately and promptly.
    • Support the development and execution of curated coffee programs.
    • Monitor and manage product inventory.
    • Assist customers with product-related questions and needs.
  • Service Coordination
    • Schedule and coordinate the service and installation team.
    • Process service and equipment installation requests.
    • Manage equipment and parts inventory.
    • Support the development of preventative maintenance programs.
    • Assist customers with service-related inquiries to ensure timely resolution.
Qualifications:

  • Legally able to work in the USA
  • Possess Basic Math Skills
  • Analytic Skills
  • Coordination and Scheduling Skills
  • Able to sit and stand for long periods of time
  • Lift up to 25 lbs.
  • Possess a Valid Drivers License
  • Enjoys Working and Helping People
  • Reliable transportation

Education:

  • High school or equivalent (Required)

Experience:

  • Office Admin experience: 1 year (Required)
  • Customer service: 1 year (Required)
  • Restaurant/Distribution Industry 1 year (Preferred)
  • Knowledge of QuickBooks software (Preferred)
