The Operations Assistant in the Hospice Department serves as the primary point of contact and first face of the organization for new hires, visitors, and staff—representing the agency with the utmost professionalism. This role plays a critical part in the onboarding process, ensuring all documentation, systems, and support structures are in place for new staff. The ideal candidate will be highly organized, detail-oriented, and capable of working cross-functionally with HR, IT, and department leadership to provide a seamless operational experience.
Key Responsibilities:
Serve as the first point of contact for the Hospice department—handling in-person visits, incoming calls, and general inquiries.
Act as the primary liaison for new hires—ensuring a smooth onboarding experience from first contact to full integration.
Work closely with HR to verify and track all new hire documents, including:
CPR certifications
Contracts and service agreements
I-9 verifications
Background checks
Licensure and credentialing documentation
Maintain accurate digital records by uploading documentation to internal contact files.
Track and manage Durable Medical Equipment (DME) assignments and needs for incoming staff.
Coordinate with IT to set up email accounts, logins, and access to necessary internal systems and applications.
Lead facility tours and provide operational orientation for new staff, including introductions to key team members.
Host or assist in Interdisciplinary Group (IBG) meetings, ensuring organization and smooth facilitation.
Support day-to-day operational functions and assist in tracking compliance, training, and staff status.
Participate in process improvements to streamline operational workflows.
Maintain strict confidentiality and professionalism in all interactions and documentation.
Qualifications:
Associate’s or bachelor’s degree preferred.
1 years of experience in healthcare operations, HR support, or administrative assistance—hospice or healthcare environment strongly preferred.
Strong knowledge of onboarding processes, documentation, and regulatory compliance.
Proficient in Microsoft Office Suite, internal HRIS systems, and cloud-based file management.
Excellent interpersonal and communication skills, both verbal and written.
Detail-oriented, self-motivated, and able to manage multiple tasks efficiently.
Ability to handle sensitive information with discretion and integrity.
Comfortable collaborating across departments including HR, IT, and clinical leaders.
