What are the responsibilities and job description for the Client Care Coordinator/Admin position at Prime Performance Sports Chiropractic, PC?
We're a fun, passionate, growing sports injury practice looking for a warm, people-first Client Care Coordinator to join our team. You'll be the first friendly voice our patients hear.
About Us
Prime Performance Sports Chiropractic is a non-traditional chiropractic rehab and sports injury clinic focused on helping active adults and athletes get back to doing what they love, long-term.
We opened in 2015 with zero patients and now see over 100 per month. Compared to other practices, that's considered "low volume" - and that's on purpose. We pride ourselves on high-quality, low-volume care, and we need your help to take things to the next level.
About the Role
This is one of the most important positions in our office. Unlike most medical offices, we take real time to nurture and educate prospective patients who inquire about our services. Many of them have been let down by other healthcare providers before and are understandably skeptical when they reach out to us.
You'll be the first point of contact - on the phone, in person, and across our marketing channels. Your job is to make people feel comfortable and excited about working with us, ask the right questions, gather information, and communicate clearly and warmly at every step.
At its core, this role is about guiding prospective patients from first inquiry to first appointment, and keeping our office running smoothly day to day. Lead nurturing and administration are what this role is built around. You'll also support our marketing efforts - mostly executing on our plan, with some input on strategy - to help bring new patients in the door.
Is This You?
- You're the one who ends up chatting with strangers in the checkout line
- You'd rather connect with someone on the phone than hide behind an email
- You remember little details about people and use them to make people feel like they matter
- You get energized by helping people, not drained by it
- You like having structure and systems, but you don't get thrown off when priorities shift
- You can juggle a full to-do list without losing track of the details
What You'll Do
- Serve as the first point of contact for prospective and current patients, by phone, email, and in person
- Nurture leads and guide prospective patients through the decision to start care
- Manage front-office administrative tasks: scheduling, records, and daily operations
- Build genuine rapport and strike up conversation easily with people you've just met
- Support marketing efforts - social media, promotions, community outreach, and content - primarily executing on our plan, with occasional input on strategy
- Work on ongoing clinic projects as they come up
What We're Looking For
- A admin skills and sharp attention to detail
- Customer service experience
- Comfortable and confident on the phone
- Tech savvy
- Some interest in marketing execution is a plus, but not the priority
- Curious - someone who wants to learn new things
- Dependable, punctual, and a team player
- Self-starters are a major plus
Details
- 30-40 hours/week, full-time or part-time
- In-person position based at our office - we're looking for someone who wants to be part of our team day-to-day, not a remote arrangement
- Significant growth potential as our clinic grows
