Overview:
We are seeking a dynamic and compassionate Front Desk Coordinator to join our Med-Spa team. In this vital role, you will serve as the first point of contact for Clients and visitors, ensuring a welcoming and efficient experience from the moment they walk through our doors. Your energetic approach and attention to detail will help streamline front desk operations, manage customer flow, and support the overall success of our Med-Spa. Responsibilities:
- Greet Customers, visitors, and staff with enthusiasm, providing exceptional customer service and clear communication.
- Check in/out clients, schedule appointments, verify forms, consents and membership details.
- Manage Phone's, text/email, and in-clinic scheduling to maintain an optimized calendar.
- Execute daily outreach (recalls, follow-ups, membership check-ins, reschedules, no-show recovery).
- Process payments, memberships, and gift cards; end-of-day reconciliation duties.
- Maintain a clean, welcoming lobby and retail area; restock supplies if/as directed.
- Document client interactions and updates in our CRM accurately and promptly.
- Collaborate with clinicians to ensure seamless Customer flow and five-star experiences.
- Educate Clients on services, memberships, and add-ons (no hard selling).
- Support basic administrative tasks (inventory counts, receipt filing, referrals tracking).
- Assist with daily upkeep of spa.
Skills:
- 1 year front desk experience in a medical clinic or MedSpa (required).
- 1 year hands-on experience with CRM software (required).
- Demonstrated scheduling experience and phone/text outreach to clients (required).
- Genuine interest in health & wellness and willingness to learn our service menu (required).
- Strong communication, empathy, and professional bedside manner.
- Tech-savvy: fast typing, confident with web-based tools, email/text etiquette.
- Reliable, punctual, and comfortable in a fast-paced, detail-oriented environment.
Nice to Have's:
- Experience with POS systems and membership/subscription workflows.
- Background in fitness, nutrition, or spa hospitality.
- Familiarity with HIPAA-aligned front-desk best practices.
Work Hours:
- 40 hours/week; typical clinic hours fall between 9am–7:00pm
- One-Two weekend days (Sat) required per month; schedule set in advance.
