Job Summary
We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital part-time role, you will help keep our accounting records, project data, and digital files running smoothly — directly supporting our sales, production, and accounting teams. Your attention to detail and reliable follow-through will help our office and job sites operate efficiently. This paid position (Monday, Wednesday, Friday, approximately 24 hours per week) offers a great opportunity to build administrative and bookkeeping-adjacent skills with a growing, family-owned commercial door sales and installation company.
Responsibilities
● Enter accounts payable (vendor bills) and accounts receivable (customer payments) accurately into our internal accounting software (full training provided)
● Process quotes, sales orders, purchase orders, work orders, and delivery records through our internal project workflow system
● Maintain organized digital filing in Google Drive, following our established naming and folder procedures
● Track and update inventory records, including receiving smaller vendor deliveries
● Prepare and send customer invoices and payment reminders according to our established schedule
● Support day-to-day office and production coordination tasks as needed
Qualifications
● Comfortable with computers and confident learning new software systems
● Strong organizational skills with the ability to follow written procedures exactly
● Prior data entry, bookkeeping, or administrative experience a plus, but not required — full training provided
● Experience with Google Drive/Google Workspace a plus
● Reliable, detail-oriented, and able to work independently once trained
● Bilingual (English/Spanish) a plus
