Operations Manager

Position Summary:

The Operations Manager position will be a key part of the family office unit of Prime Capital Financial. Prime Capital Family Office (PCFO) is focused on delivering sophisticated investment solutions, independent counsel, and tailored advisory services to ultra‐high-net-worth families and family offices.

This position will act as an important point of contact with clients, driving operational improvements and leading initiatives to improve the client experience. In addition to serving our clients, this person will also be responsible for maintaining relationships with our partners including, but not limited, to accountants, attorneys, custodians, insurance professionals, investment General Partners, and others.

Duties and Responsibilities:

• Oversee the client onboarding process, which includes the gathering of necessary documentation and information.
• Manage all processes related to opening and servicing accounts at our partner custodians. Experience with Fidelity Institutional and Schwab Advisor Services is a plus.
• Assist in maintaining proper cash flow data for investment performance reporting standards.
• Oversee and improve the CRM system. Create and maintain process workflows in the CRM system to standardize and automate routine processes. Preserve, manage, and monitor the integrity of data stored in the CRM system.
• Manage all software relationships along with any integrations between those providers.
• Oversee all operational aspects related to alternative investments, including subscription documentation, capital calls, transfers, distributions, and fund redemptions.
• Assist in the gathering and reporting of all investment data from third-party fund administrators.
• Manage cash transfer needs including daily and periodic wires, checks, and ACH payments.
• Assist with client service tasks such as banking arrangements, financial statement reporting, and document collection.
• Focus on continued improvement of the client experience by maintaining knowledge of best practices, cutting edge software, and unique technologies that bring a heightened experience to our clients.
• Review all client-facing materials with our compliance department and ensure they meet the professional quality standards of the firm.
• Maintain a knowledge and operational efficiency working with non-traditional custodians and providers such as self-directed IRA companies, private placement life insurance funds, and commission-free insurance providers.
• Assist with the development and review of marketing materials, including updating PCFO’s social media and website page, blog, and podcast, and creating client presentations.
• Work as a valued team member on other firm projects as needed.
• Meet with clients and their families on occasion outside the scope of normal office hours.

Minimum Position Requirements:

• 5 Years of experience in the financial services space, preferably with a high-net worth RIA or family office.
• Bachelor’s degree required.
• Relevant advanced degree or advanced designations (CFP, CFA, CIMA, CPWA, CPA) are a plus.
• Excellent interpersonal skills and ability to build working relationships with clients and professionals at all levels of the organization.
• Ability to multitask and function in a dynamic, small-office, semi-autonomous environment.
• Attention to detail must be a strength.
• Desire to work in a client-facing, team environment.
• Proficient in Microsoft Office.
• Experience with wealth management and portfolio reporting software is a plus.
