Role Description
This is a full-time, on-site role for a Assistant Service Manager / Parts Specialist based in Clearwater, FL. The Service Dispatcher / Customer Service Representative will be responsible for coordinating service schedules, handling customer inquiries, and resolving issues promptly and efficiently. Daily tasks include closing work orders, researching and quote parts needed, answering phone calls, dispatching service technicians, maintaining customer satisfaction, and ensuring clear communication between customers and service teams.
Key Responsibilities:
- Schedule and dispatch HVAC technicians to job sites based on schedules, customer requests, and urgent service needs.
- Communicate effectively with customers, supervisors, and technicians to resolve service request needs, equipment issues, and scheduling challenges.
- Handle incoming service calls, assist with part needs, invoicing, and customer inquiries.
- Assist the Installation and Service Manager with service project and coordination of permitting paperwork and construction documents.
- Document and update customer records, ensuring accuracy in work orders, completed jobs, charges, and expenses.
- Monitor and support technicians in the field to ensure efficient service and maintenance scheduling.
- Develop and maintain a knowledge base of HVAC products and services through ongoing training.
- Participate in company-provided training (industry classes, vocational school, and onsite programs).
- Contribute positive ideas to improve operations and support company growth.
Qualifications:
- Minimum 1 year of dispatching in HVAC industry experience (Required).
- Minimum 1 year of office administration or customer service experience (Required).
- Strong communication, organizational, and multitasking skills.
- Ability to work in a fast-paced HVAC environment.
- Attendance and punctuality are a must.
- Ability to reliably commute to Clearwater, FL 33762,
- Schedule: Full-time, 8-hour day shifts (Monday–Friday). Exact hours TBD
- Experience with Permitting process and documents is a plus for this position.
- Experience with HVAC maintenance organization and scheduling a plus for this position
