- Manage multi-line phone systems, directing calls accurately and courteously
- Handle incoming and outgoing correspondence using Microsoft Office, Google Workspace, and other office software
- Maintain organized files, records, and data entry logs with precision and attention to detail
- Schedule appointments, manage calendars, and coordinate meetings efficiently
- Support office management tasks such as proofreading documents, filing paperwork, and managing office supplies
- Assist with basic bookkeeping using QuickBooks or similar accounting tools when needed
- Provide administrative support including typing reports, proofreading communications, and supporting customer inquiries
- Ensure phone etiquette is maintained consistently to foster a professional atmosphere
- Perform clerical duties such as data entry, filing, and managing office equipment
Experience
- Previous office experience or clerical experience in a professional setting is preferred
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are a plus to serve diverse client needs effectively
- Knowledge of office management practices including calendar management and organization skills
- Familiarity with medical or dental receptionist duties is advantageous but not required
