Primary Services is actively recruiting for an experienced Office Administrator & Executive Assistant to the CEO to support a large and well-established client in the financial services industry. This highly visible role combines executive support with office administration, giving you the chance to manage key business operations and serve as a trusted partner to executive leadership. The ideal candidate brings a strong administrative background, exceptional organizational skills, and the ability to manage multiple priorities with professionalism and discretion.
Responsibilities
- Manage complex calendars, schedule meetings, and coordinate executive travel arrangements.
- Prepare reports, presentations, correspondence, and meeting materials for executive leadership.
- Coordinate office operations, vendor relationships, and administrative processes.
- Serve as the primary point of contact for executive communications and visitors.
- Organize meetings, company events, and executive appointments.
- Maintain confidential records and sensitive business information with discretion.
- Monitor office supply inventory and coordinate purchasing activities.
- Support internal projects and assist with special assignments from executive leadership.
- Track action items and follow up on deadlines to ensure timely completion.
- Maintain organized filing systems and administrative documentation.
Qualifications
- Minimum of 3 years of executive assistant, office administration, or administrative support experience.
- Experience directly supporting senior executives or C-level leadership.
- Bachelor's degree preferred or equivalent professional experience.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Experience managing executive calendars, travel arrangements, and meeting coordination.
- Ability to handle confidential information with a high degree of discretion.
- Strong written and verbal communication skills.
- Experience coordinating office operations and administrative functions.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Experience working in a professional corporate environment preferred.
Salary : $60,000 - $75,000
