Primary PartnerCare Physicians, a primary care group with 12 sites and growing, has an opening for a seasoned Office Manager to cover 2-3 care center sites on the South Shore Suffolk County (Babylon, Deer Park, 1 more). You will oversee the staff and all the administrative workflows of these care centers.

We are seeking an energetic, tech savvy professional who will take the lead on all practice management activities such as best workflows, resolving billing issues, authorizations, chart prep, setting up new services, ordering vaccines and supplies, making sure that our patients receive all the preventive care visits they are entitled to and appropriate follow-up visits, and overall provide best of class patient-relations. You will manage the 2-3 sites and spend your days in each site based on need as well as continuity.
In addition to these responsibilities, you will oversee quality reporting and other ACO and value-based initiatives. You will supervise all non-clinical staff such as front desk and medical assistants. We are looking for a career-oriented professional that wants to grow with our new large primary care group! As the Suffolk South Shore Office Manager, you will manage the administration of the care center, including overseeing staff and serving as hand-on manager as may be needed:
- Organize office operations and procedures, including process to ensure all patients receive preventive care services and follow-up visits
- Oversee patient registration, eligibility and scheduling
- Manage authorizations and referrals, and communicate with the payors and patients
- Ensure front desk staff is collecting patient copays, coinsurance and deductibles and complete daily and weekly financial reconciliations
- Help explain insurance coverage (EOBs) and patient balances to the patients when front desk needs support
- Help providers with their billing responsibilities in Athena EMR as may be needed
- Serve as liaison with medical group's MSO and management team, and ensure that all programs, policies and compliance issues are implemented
- Oversee the non-clinical staff, including scheduling, performance reviews, time and attendance and training
- Arrange for coverage across your care centers in case of emergencies and call-outs
- Create a sense of team and partnership across your care centers
We require:
- 5 years in management position: leading, coaching and overseeing performance of staff
- 10 years of medical practice experience, with strong understanding of insurance and patient liabilities (copays, coinsurance, deductibles)
- Bachelors Degree preferred but advanced experience may serve as a substitute
- General billing and coding knowledge, and zest to stay abreast with changes and learn health insurance rules as they relate to primary care
- Strong technology skills to succeed with a tech-driven practice, including ability to use Excel
- Ability to quickly masterAthena EMR, billing software, managed care software
- Strong organizational and leadership skills to be the calming force as we evolve and implement change
- Demonstrated communication skills, oral and written
- Experience on patient engagement and satisfaction approach - as a primary care group, its critically important
- Successful experience implementing new processes, procedures, and services
- Knowledge of OSHA, HIPAA and other regulations, state and federal, that oversee medical practices
- Caring spirit that recognizes each patient as an individual, and through their actions and leadership let the patients know that the practice is their true medical home
- Compassion and patience with people during times of illness and wellness with ability to build a patient-focused culture
- Financial acumen and interest in growing a primary care practice
