Pay range - $30 TO $35/hr on W2
Length of assignment – 16 weeks of Contract
Job Summary
The Senior Onboarding Specialist is responsible for managing and improving the end-to-end onboarding experience for all new hires and rehires. This role ensures timely completion of onboarding documentation, occupational health requirements, background checks, payroll system entry, compliance audits, and orientation coordination.
This highly visible role will partner cross-functionally with Recruiting, Compensation & Benefits, HR Operations, and hiring managers to deliver a seamless and compliant onboarding experience while driving process improvements and operational excellence.
Key Responsibilities
- Coordinate onboarding activities for all new hires and rehires, ensuring timely completion of required documentation and compliance requirements.
- Schedule occupational health appointments and monitor completion status.
- Manage new hire paperwork including I-9s, onboarding documents, orientation communication, and payroll setup.
- Process and monitor background checks, CORI checks, and adverse action communications when applicable.
- Enter and maintain employee records accurately within HRIS/payroll systems and applicant tracking systems.
- Maintain onboarding trackers, dashboards, and reporting metrics.
- Partner with recruiting teams, hiring managers, and HR stakeholders to ensure a positive onboarding experience.
- Track and reduce time-to-start metrics through process improvements and operational efficiencies.
- Conduct audits for onboarding compliance, E-Verify/I-9 requirements, and personnel file completeness.
- Provide onboarding metrics, reporting, and insights to leadership teams.
- Support onboarding and orientation for executive-level hires.
- Identify process gaps and implement continuous improvement initiatives.
- Manage multiple priorities and small-scale projects independently in a fast-paced environment.
- Respond to escalations, perform root cause analysis, and develop solutions to improve onboarding operations.
- Support additional HR projects and responsibilities as assigned.
Required Qualifications
Education
- Bachelor’s Degree (BS/BA) required
Experience
- Minimum 5 years of experience in onboarding, recruiting coordination, HR operations, or high-volume administrative support.
- Experience working in fast-paced, high-volume environments required.
- Previous project management or operations experience strongly preferred.
- Experience using Applicant Tracking Systems (ATS) required.
- Workday experience preferred.
