We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Duties

  • Greet visitors warmly, manage front desk operations, and ensure a professional first impression
  • Answer multi-line phone systems promptly and courteously, directing calls accurately
  • Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Handle incoming and outgoing correspondence, including emails, mail, and packages
  • Support office management tasks such as supply inventory, organization of files, and basic bookkeeping using QuickBooks
  • Provide exceptional customer service by assisting clients with inquiries and support requests
  • Maintain a tidy reception area and ensure all office equipment is functioning properly
  • Assist with personal assistant duties including calendar management and travel arrangements when needed

Experience

  • Prior office experience or clerical experience in a professional environment is highly preferred
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent phone etiquette and customer service skills, including handling complex inquiries with professionalism
  • Bilingual abilities are a plus for communicating with diverse clients or staff
  • Experience using multi-line phone systems and managing front desk operations is advantageous
  • Familiarity with medical or dental receptionist duties, including appointment scheduling and patient interaction, is beneficial
  • Knowledge of bookkeeping tools such as QuickBooks or similar software is desirable
  • Ability to type accurately at a steady pace while maintaining attention to detail
