Fast-paced law firm is seeking a Business Administration Generalist to oversee all business aspects of their office. The person will be responsible for:
- Business Administration Generalist
- Office & Administrative Management
- In conjunction with the receptionist, ensure smooth office operations, including supplies, catering, scheduling, and list management.
- Serve as backup to the receptionist and administrative assistant.
- Work closely with IT, support vendors, building management, and other stakeholders to ensure the office runs smoothly at all times.
- Human Resources & People Operations
- Coordinate hiring and termination processes, including onboarding new hires and removing terminated employees from HR and payroll systems.
- Maintain employee records and support general HR administrative needs.
- Partner with managers and HR team members to address employee questions, escalate issues as needed, and keep HR workflows moving.
- Marketing & Events
- Assist in planning and executing major company-wide events such as leadership summits, board meetings, company meetings, and team offsites.
- Support conferences, tradeshows, webinars, and in‐person events from promotion through post‐event follow‐up.
- Execute integrated marketing programs across digital, email, social, web, and event channels.
- Draft and refine marketing copy to ensure brand and messaging consistency.
- Maintain the client contact database, pull mailing lists for email campaigns, organize data, and support system clean‐up efforts.
- Track and manage marketing materials and event supplies—including ordering, organizing, and restocking.
- Support the marketing team’s day‐to‐day tasks, including:
- Scheduling meetings
- Opening new matters for events and speaking engagements
- Submitting expenses and invoices
- Taking meeting notes
- Financial & Accounting Operations
- Assist with Accounts Receivable and Accounts Payable, including reporting and client follow‐up.
- Perform bank reconciliations.
- Track and manage office expenses and credit card activity, including categorization and reporting.
- Oversee payroll processing to ensure timely and accurate execution.
- Assist with managing benefits administration and other employee benefits.
- Timekeeping & Billing Support
- Collect time entries from partners, of counsel, and associates.
- Remind the firm of time‐entry deadlines and run weekly reports.
- Enter and manage timekeeping data within the firm’s billing system.
- Assist with client onboarding, including entering engagement agreement information into billing systems.
Minimum Associate's degree, Bachelor's preferred, and 3 years of office administration experience required.
Salary : $70,000 - $90,000
