Fast-paced law firm is seeking a Business Administration Generalist to oversee all business aspects of their office. The person will be responsible for:

  1. Business Administration Generalist
  2. Office & Administrative Management
  3. In conjunction with the receptionist, ensure smooth office operations, including supplies, catering, scheduling, and list management.
  4. Serve as backup to the receptionist and administrative assistant.
  5. Work closely with IT, support vendors, building management, and other stakeholders to ensure the office runs smoothly at all times.
  6. Human Resources & People Operations
  7. Coordinate hiring and termination processes, including onboarding new hires and removing terminated employees from HR and payroll systems.
  8. Maintain employee records and support general HR administrative needs.
  9. Partner with managers and HR team members to address employee questions, escalate issues as needed, and keep HR workflows moving.
  10. Marketing & Events
  11. Assist in planning and executing major company-wide events such as leadership summits, board meetings, company meetings, and team offsites.
  12. Support conferences, tradeshows, webinars, and in‐person events from promotion through post‐event follow‐up.
  13. Execute integrated marketing programs across digital, email, social, web, and event channels.
  14. Draft and refine marketing copy to ensure brand and messaging consistency.
  15. Maintain the client contact database, pull mailing lists for email campaigns, organize data, and support system clean‐up efforts.
  16. Track and manage marketing materials and event supplies—including ordering, organizing, and restocking.
  17. Support the marketing team’s day‐to‐day tasks, including:
  18. Scheduling meetings
  19. Opening new matters for events and speaking engagements
  20. Submitting expenses and invoices
  21. Taking meeting notes
  22. Financial & Accounting Operations
  23. Assist with Accounts Receivable and Accounts Payable, including reporting and client follow‐up.
  24. Perform bank reconciliations.
  25. Track and manage office expenses and credit card activity, including categorization and reporting.
  26. Oversee payroll processing to ensure timely and accurate execution.
  27. Assist with managing benefits administration and other employee benefits.
  28. Timekeeping & Billing Support
  29. Collect time entries from partners, of counsel, and associates.
  30. Remind the firm of time‐entry deadlines and run weekly reports.
  31. Enter and manage timekeeping data within the firm’s billing system.
  32. Assist with client onboarding, including entering engagement agreement information into billing systems.

Minimum Associate's degree, Bachelor's preferred, and 3  years of office administration experience required.

Salary : $70,000 - $90,000
