The Role
We are actively seeking an experienced, autonomous Finance Coordinator to take ownership of our financial operations. Your primary mission is to be the reliable engine of our daily finance functions. You will handle full-cycle accounts payable and receivable, maintain the general ledger, and manage client payments in Stripe. We need a hands-on operator who takes pride in organization, accuracy, and ensuring the books are perfect every single month.
This is an on-site position in Indianapolis. We value the collaboration and rapid problem-solving that is best achieved when our team is working together in person. There is some hybrid flexibility after an initial period but you should be able to commute to the office at least multiple days a week.
As you master these core responsibilities, you will also have the opportunity to assist leadership with strategic initiatives such as cash flow analysis, SaaS unit economics, and financial modeling.
Key Responsibilities
- Financial Management: Manage full-cycle accounts payable and receivable, ensuring all transactions are accurately recorded in QuickBooks Online. You will be responsible for maintaining a clean and accurate general ledger.
- Payment Processing & Account Management: Manage individual client payment profiles in Stripe and Quickbooks. This includes ensuring accurate payment processing, handling refunds, and investigating payment failures or disputes.
- Operational Data Management: Utilize advanced Excel/Google Sheets functions (we are a Google shop) to organize complex data sets and monitor the lifecycle of recurring financial tasks. You will be responsible for ensuring that all open items are tracked to completion so nothing falls through the cracks.
- Financial Planning & Analysis: Assist the leadership team with financial projections and budget tracking. You will transform raw data into clear, actionable reports and financial models.
- Accounts Receivable: Monitor outstanding accounts and coordinate collections. You will need to maintain professional and positive client relationships while ensuring timely payments.
- Sales & Support Collaboration: Assist Sales and Support Managers with invoicing inquiries, resolve billing discrepancies, and help the team keep moving fast.
- Tax & Compliance: Manage sales tax distribution across multiple states and handle regulatory fee payments to ensure strict compliance with local and federal regulations.
Qualifications
- Education & Experience: A 4-year degree in Accounting (or a related field) OR at least 4 years of equivalent, hands-on experience is required.
- Technical Proficiency: Must be highly proficient in QuickBooks Online and Stripe (or similar payment processing platforms). Experience within a SaaS or Healthcare Technology environment is strongly preferred.
- Advanced Data Skills: Proficiency with pivot tables, VLOOKUPs, and complex data manipulation in Google Sheets or Excel is required.
- Autonomy: Ability to work individually as a self-starter while coordinating with Sales and Support teams. You should be able to prioritize daily, weekly, and monthly workflows effectively.
- Communication: Excellent verbal and written communication skills are required. You must be able to compose professional business communications to resolve complex billing issues.
