Organization Overview:
Prevention Point Philadelphia (PPP) is a multi-service public health organization dedicated to protecting the health and welfare of the homeless, drug users, sex workers, and the uninsured. PPP meets people where they are, providing information and access to resources with dignity and respect. Using a harm reduction approach, PPP offers low-threshold, culturally sensitive, non-judgmental services to address the health and social service needs of people in Philadelphia. PPP promotes harm reduction throughout its services including mobile and in-building medical care, street outreach, an all year respite called Point of Refuge, HIV/HCV testing and linkage to care, an HIV medical clinic, a drug treatment program entitled Stabilization, Treatment and Engagement Program (STEP), legal services, overdose prevention trainings and kit distribution, safer sex materials and education, sterile syringe exchange and education, referrals to social services, and comprehensive prevention case management services and more.
Mail Clerk Role Overview:
The Mail Clerk is responsible for staffing the mail program 5 days a week, which includes maintaining updated data, sorting mail, and checking mail for participants. This staff person is expected to build trusting relationships with guests and supervise the support staff. As many individuals enrolling in mail services have limited benefits or no benefits, especially those leaving incarceration or coming form other counties, this staff member will also be responsible for asking individuals if they have or want insurance, and this staff member may also assist with Compass look ups and completing brief online Compass applications when Case Managers are unavailable and/or when the participants they are working with have no other services at PPP other than mail.
Duties and Responsibilities:
· Pick up incoming mail and take return mail to the post office.
· Receive and sort incoming mail, packages, and deliveries.
· Distribute mail to appropriate participants and contact the appropriate staff.
· Maintain accurate data records of incoming and outgoing mail and packages provided to participants on Microsoft Forms, including the opening and closing of mailboxes.
· Process outgoing mail, including preparing, sealing, and affixing postage to envelopes and packages.
· Assist in the preparation and organization of bulk mailings.
· Organize mail services 4–5 times per week.
· Enforce 30-day mail agreement with participants who have not checked their mail.
· Ensure compliance with postal regulations and organizational policies.
· Monitor, reorder mailroom supplies as needed, and ensure area clean-up as needed.
· Maintain client confidentiality according to HIPAA, CBH, AACO, and DDAP standards.
· Read and respond to messages sent via email and/or Teams promptly.
· Attend meetings as required.
· Participate and complete ongoing training sessions to enhance skills and knowledge.
· Possess the ability to make quick and sound decisions within the mailroom environment and execute if needed.
· Assist with additional administrative tasks as assigned.
· Must be able to engage, interact, and work toward fostering positive relationships with drop-in center guests and other staff.
· Have a keen understanding of various resources available to participants at PPP and in the community at large.
· Have a basic understanding of the Compass look-up process and be able to complete a five-minute online Compass application for participants with no insurance.
· Refer individuals who need switches of their insurance MCO or county to the Case Managers or Medical Reception, and be able to refer people to other staff.
· Support other Drop-In programs on rare occasions.
Minimum Qualifications:
· Bilingual in English and Spanish, including reading and writing in both languages, with the ability to understand and communicate in colloquial English and Spanish with the Spanish- and English-speaking communities in Philadelphia.
· Must possess a valid driver’s license.
· Must be able to stand for long periods of time and lift 40 lbs.
· Must be able to work in a space with multiple conversations taking place at the same time.
· Knowledge of and experience working with persons experiencing homelessness, substance use, and mental health issues.
· Dedication to assisting others while fostering their self-esteem and dignity.
· Commitment to a harm reduction philosophy, including meeting people where they are and creating a safe, non-judgmental environment.
· Willingness to familiarize oneself with and implement crisis de-escalation, overdose reversal, and mental health emergency protocols.
· Strong oral communication skills.
· Attention to detail.
· Knowledge of Microsoft Office, Outlook, and Teams.
· Knowledge of Compass process and/or willingness to learn.
· Other duties as assigned by supervisor.
