Position Summary:
Our small but growing company provides behavioral services to predominantly court mandated clients and we a seeking a reliable, organized Office Manager to manage the day-to-day administrative business. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and possess excellent client-facing communication skills. If you have worked in a fast-paced office in the past and don't like to be bored, we’re excited to talk with you. We’re looking for someone who can operate effectively with little supervision and who can manage multiple tasks at once without becoming overwhelmed.
Work schedule for this position is Monday through Friday 8:00AM to 4:30PM, 60 minute lunch break and every other Saturday or Sunday 7:00AM to 8:30AM. Mandatory overtime hours are required for this position and paid overtime hours. Allowable overtime hours should not exceed 9 hours per pay period.
Essential Functions:
· Answers all client inquiries via phone and in person
· Schedules and enrolls clients into programs
· Provides administrative assistance to management team
· Disperses and monitors all correspondence to appropriate staff and clients
· Composes correspondence on initiative
· Perform other office tasks (replenish office supplies, distribute mail, custodial duties, etc.)
· Data enters all referrals and other communication
· Collects payments and overseas the collection of monies
- Monthly invoicing using QuickBooks.
· Trains, schedules, evaluates and oversees administrative and drug testing staff
· Monitors drug and alcohol tests, inputs testing data, collects monies for female clients (every other weekend only)
· Previous supervisory experience in administrative services a must. Computer skills are an absolute must.
