We’re looking for a highly organized, proactive Production Project Manager to support our CEO and CFO. This hybrid role blends top-tier executive assistance with project coordination across company-wide initiatives. You’ll be the right hand to leadership, ensuring their time, communication, and strategic priorities are effectively managed and executed.
What You’ll Do:
Project Management:
1. Project Planning
- Define project scope, goals, and deliverables
- Develop detailed project plans, timelines, and schedules
- Estimate resources and allocate accordingly
- Identify key milestones and deadlines
2. Team Coordination & Leadership
- Assign tasks and responsibilities to team members
- Communicate expectations clearly and consistently
- Facilitate collaboration across departments or vendors
- Provide guidance, motivation, and performance feedback
3. Budget & Resource Management
- Create and manage project budgets
- Track costs to avoid overages or scope creep
- Manage vendor relationships and negotiate contracts if needed
- Approve and monitor use of resources (equipment, personnel, etc.)
4. Communication & Reporting
- Serve as the main point of contact for internal and external stakeholders
- Conduct regular check-ins and meetings with team members
- Provide status updates to leadership and stakeholders
- Ensure transparency around progress, risks, and blockers
5. Timeline & Deliverable Management
- Ensure all deliverables meet quality standards and are delivered on time
- Adjust schedules and plans as needed to adapt to change
- Manage dependencies and remove bottlenecks
6. Risk & Issue Management
- Anticipate potential problems and develop contingency plans
- Address issues as they arise to avoid delays
- Ensure legal and safety compliance where applicable
7. Documentation & Post-Project Review
- Maintain accurate records and documentation throughout the project
- Organize post-mortems or debriefs to evaluate what worked and what didn’t
- Gather feedback to improve processes for future projects
8. Minor Executive & Personal Support
- Manage calendars, travel, expenses, and inboxes for the CEO & CFO
- Act as a professional gatekeeper and liaison with internal and external stakeholders
- Schedule meetings and events across time zones with precision
- Prepare meeting briefs, agendas, decks, and follow-ups
- Assist with personal logistics (travel, events, appointments) with discretion
Who You Are
- 3–5 years supporting C-level executives or managing cross-functional projects
- Highly detail-oriented, proactive, and organized under pressure
- Excellent communicator—clear, concise, and calm
- Confident using Google Workspace, Slack, and modern PM tools
- Experience in creative, production, or entertainment industries is a plus
