As a Parts Coordinator at Preston Refrigeration, you'll play a key role in supporting our customers, technicians, and project teams-while directly contributing to the company's success and profitability. You'll be the go‑to resource for parts knowledge, order accuracy, and smooth operations from quote to delivery.
What You'll Do:
- Processing customer parts orders and responding to inbound calls and emails regarding industrial refrigeration parts and accessories.
- Assisting customers in identifying basic parts needs and educating them on available products, pricing, availability, and lead times.
- Preparing pricing estimates and quotations using Zoho suite, following up to secure sales, and encouraging upsells that align with customer requirements.
- Coordinating parts and documentation for service technicians and project teams to support field and project operations.
- Working with vendors to obtain pricing, availability, and lead-time information, and verifying vendor invoices by matching receiving documents before approval.
- Tracking shipments and order status, completing bills of lading, and preparing UPS/FedEx shipping documentation.
- Assists in returns and warranty parts and resale of returned items.
- Picks, packs, and ships customer orders depending on arrangements for delivery or pick up.
- Building and maintaining strong customer relationships to promote repeat business and long-term satisfaction.
- Maintaining accurate inventory levels and ensuring inventory areas remain clean, orderly, and compliant with company standards.
- Maintain a neat and clean appearance and motivated, positive attitude.
Experience and Education Requirements:
- 1–3 years of experience in parts coordination, inside sales, customer service, or a related technical support role.
- Experience with industrial, mechanical, HVAC, or industrial refrigeration is highly preferred, but not required.
- Proficient in Word, Outlook, and Excel, as well as order processing systems (ERP, inventory management or CRM Platforms).
- Experience with Zoho CRM platform a plus.
- Demonstrated success in customer-facing roles, especially in upselling or quote follow-up.
