We’re seeking a skilled and friendly Bilingual (English and Spanish) Receptionist to join our team at Prestige In Home Care based in Petaluma.

You will manage the Office’s reception and front desk. Thus, as the first point of contact for our customers and visitors, you will play a critical role in creating a welcoming environment and providing excellent customer service. In this role, you are expected to handle administrative tasks and support the executive team in everyday chores.

Your role

  • Handle the front desk and maintain visitor records.
  • Manage administrative chores and organizational tasks.
  • Create a welcoming, professional environment for clients and customers.

What you’ll do

  • Greet visitors and answer a multi-line phone system; triage calls in English and Spanish.
  • Manage the front desk inbox; route messages and follow up promptly.
  • Support caregiver onboarding (collect documents, schedule orientations, verify credentials).
  • Assist with scheduling, data entry, and light billing/admin tasks.
  • Maintain tidy, HIPAA-compliant reception and records.
  • Coordinate mail, deliveries, supplies, and office vendors.
  • Provide general support to Operations/HR as needed.

Required skills and qualifications

  • High school diploma or GED equivalent.
  • Proof of work authorization in the U.S.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and great organizational capabilities.
  • Competency in managing time and solving everyday problems.
  • Customer-oriented mindset with a passion for providing exceptional service.
  • Fluency in English and Spanish (written and spoken).
  • Basic knowledge of Microsoft Office (MS Word and MS Excel).
  • Reliable, punctual, and detail-oriented; able to handle sensitive information (HIPAA).

Preferred skills and qualifications

  • 1–2 years of experience in a similar job or other customer-facing roles.
  • Proficiency in using computers and other office equipment.
  • Willingness to work in a fast-paced environment with multitasking ability.
  • Solid computer skills: Google Workspace (Gmail, Drive, Docs, Sheets); CRM/EMR experience a plus (WellSky familiarity is a bonus).
