Automotive Guest Service Coordinator

Description of the Role:

As a service coordinator, you will be the central communication point between customers, service advisors, technicians, and management. your primary goal will be to ensure a smooth, efficient, and positive customer experience throughout the vehicle service process. this role is ideal for someone who thrives in a fast-paced environment, values exceptional customer service, and has a keen eye for detail.

Key Responsibilities

• Customer Communication: Serve as a liaison between clients and service staff, ensuring timely updates on vehicle status and repair timelines.

• Appointment Scheduling: Coordinate service appointments via phone, email, and in-person requests. Maintain an accurate daily schedule for service advisors and technicians.

• Follow-Ups: Conduct follow-up calls with customers regarding service completion, satisfaction, and future maintenance reminders.

• Administrative Support: Assist with internal paperwork, parts ordering coordination, warranty documentation, and departmental reporting.

• Customer Experience: Ensure clients are informed and satisfied at every stage of the service process—from drop-off to pickup.

Qualifications

• Experience: Prior experience in a customer service or service coordination role, preferably in the automotive industry.

• Technical Skills: Proficient in Microsoft Office Suite and automotive software systems ( Reynolds & Reynolds, etc. preferred - not required )

• Communication: Strong verbal and written communication skills; ability to communicate clearly and professionally with both clients and team members.

• Organization: High level of attention to detail, time management, and multitasking capabilities.

• Team Player: Ability to work collaboratively in a team-oriented, high-volume service environment.

• Customer Focus: Passion for providing exceptional customer service with a positive and proactive approach.
