Executive Assistant to the OwnerAbout the Role
Presley Paige is seeking a highly organized, proactive, and resourceful Executive Assistant to provide both professional and personal support to the Owner. This role is designed to maximize the Owner's time and effectiveness by managing day-to-day administrative responsibilities, overseeing personal and business logistics, and ensuring important tasks and projects are executed efficiently.
This is not a traditional administrative role. The Executive Assistant will serve as a trusted partner to the Owner, helping to keep both business operations and personal responsibilities organized and moving forward.
Key ResponsibilitiesExecutive Support
- Manage the Owner's calendar, appointments, meetings, and scheduling.
- Coordinate travel arrangements, accommodations, and itineraries.
- Prioritize emails, correspondence, and follow-up tasks.
- Prepare documents, presentations, reports, and meeting materials.
- Assist with special projects and strategic initiatives.
- Serve as a liaison between the Owner and internal teams, vendors, and external partners.
Financial & Administrative Management
- Reconcile business and personal credit card statements.
- Track receipts and maintain organized financial records.
- Manage product returns, exchanges, and warranty claims.
- Coordinate invoice collection and expense tracking.
- Prepare organized documentation for accounting and bookkeeping.
- Monitor subscriptions, memberships, and recurring expenses.
- Maintain organized digital and physical filing systems.
Personal & Lifestyle Management
- Coordinate personal appointments and household scheduling.
- Manage personal errands and purchasing as needed.
- Research products, services, and vendors.
- Assist with gift purchasing, reservations, and travel planning.
- Oversee personal projects and ensure deadlines are met.
- Help create systems that simplify and organize daily life.
Operations & Project Management
- Track ongoing projects and ensure action items are completed.
- Create and maintain organizational systems and standard operating procedures.
- Assist with vendor communication and relationship management.
- Coordinate logistics for meetings, events, and company initiatives.
- Anticipate needs and proactively solve problems before they arise.
- Handle confidential information with professionalism and discretion.
Organization & Efficiency
- Develop systems that improve productivity and workflow.
- Maintain task lists and project timelines for the Owner.
- Ensure important deadlines, renewals, and commitments are not overlooked.
- Identify opportunities to streamline operations and reduce administrative burdens.
- Help implement technology and automation solutions that increase efficiency.
Qualifications
- Previous experience as an Executive Assistant, Personal Assistant, Office Manager, Chief of Staff, or similar role preferred.
- Strong organizational and project management skills.
- Experience reconciling expenses and managing financial records.
- Highly proficient with Google Workspace, Microsoft Office, and digital productivity tools.
- Comfortable learning and implementing new technology platforms and software.
- Exceptional written and verbal communication skills.
- Outstanding attention to detail and follow-through.
- Ability to manage multiple priorities with minimal supervision.
- High degree of integrity, discretion, and confidentiality.
- Self-starter with excellent problem-solving abilities.
