Administrative Assistant
Position Summary- Monday thru Thursday 830am-5pm
The Administrative Assistant serves as the administrative hub of the community, providing exceptional customer service while supporting residents, families, visitors, department leaders, and staff. This position is responsible for coordinating office operations, maintaining accurate records, ensuring regulatory compliance, assisting with resident services, and supporting daily business functions.
The ideal candidate is organized, dependable, detail-oriented, compassionate, and able to manage multiple priorities in a fast-paced environment.

Essential Job Functions
Administrative Support
- Provide administrative support to department leaders and staff.
- Manage shared email accounts, calendars, and daily communications.
- Prepare correspondence, reports, forms, and other administrative documents.
- Maintain office files, records, and databases with accuracy and confidentiality.
- Assist with special projects as assigned.
Resident & Family Services
- Serve as a professional point of contact for residents, families, visitors, and vendors.
- Coordinate resident appointments and transportation arrangements.
- Maintain resident demographic, contact, and census information.
- Prepare and distribute resident communications and notifications.
- Assist with admission-related administrative processes.
Compliance & Record Management
- Maintain employee and resident records in accordance with company policies and regulatory requirements.
- Track required compliance documentation, including employee health and certification records.
- Ensure accuracy of data entry and documentation.
- Assist with audits and regulatory recordkeeping.
Office Operations
- Coordinate meal requests and maintain related records.
- Receive, distribute, and process incoming mail and deliveries.
- Maintain office inventory and order supplies.
- Coordinate uniform requests and other employee support functions.
- Assist with scheduling and maintaining community calendars.
Event & Community Support
- Prepare flyers, calendars, newsletters, and community communications.
- Assist with facility events, meetings, and resident activities.
- Support annual community events and special projects.

Qualifications
- High School Diploma or GED required
- Administrative Assistant experience preferred
- Experience in healthcare or senior living preferred
- Proficient with Microsoft Office (Word, Excel, Outlook)
- Strong computer and data entry skills
- Excellent written and verbal communication skills
- Ability to maintain confidentiality
- Notary Public certification preferred or willingness to obtain
