About the Role
We are a growing meal prep company based in Vista, CA, seeking a highly organized, proactive Virtual Assistant / Executive Assistant to support both the CEO personally and the customer service operations of the business.
This is a dual role requiring strong communication skills, attention to detail, and the ability to juggle executive-level support with day-to-day customer service responsibilities. You will be a key point of contact for customers and an essential right hand to the CEO.
This position begins as remote, with occasional in-person responsibilities as needed.
Key ResponsibilitiesCustomer Service & Operations
- Serve as the main customer service point of contact
- Respond promptly to customer inquiries via email, text messages, phone calls, and social media
- Handle customer issues with professionalism and empathy
- Input and manage customer orders in the ordering system
- Message customers to submit meal selections before ordering cutoffs
- Update and track inventory stock (admin supplies and kitchen supplies)
- Coordinate closely with the kitchen team regarding changes, special requests, and last-minute orders
- Maintain clear internal communication using Slack and other tools

Executive Assistant Responsibilities
- Manage and maintain the CEO’s calendar, including meetings, appointments, and events
- Handle email correspondence, calls, and inquiries, ensuring timely follow-up
- Assist with event planning and coordination (company meetings, webinars, client events)
- Manage and restock business and personal items as needed
- Support project coordination across teams to keep deadlines and deliverables on track
- Assist with travel arrangements, expense reporting, and personal assistant tasks as required
