Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff, clients, and visitors. The ideal candidate is proactive, tech-savvy, and excels in multitasking within a fast-paced setting.
- Role and Responsibilities
· Utilize computer applications to manage transactions such as inventory, sales orders, etc.
· Reports any customer problems or concerns immediately to manager
· Operate equipment (including company vehicles), when required, in a safe and efficient manner
· Participates in regulatory and safety training, as applicable
· Track Parts and Equipment inventory
· Issue parts out of the parts warehouse to employees
· Track serialized equipment/inventory
· Help obtain purchase orders needed for PTS
· File and maintain invoice records from vendors
· Help process paperwork for parts and equipment sales
· Help price, process and file daily tank work orders
· Track and setup tank rentals, fees and related paperwork
· Track PTS employees’ hours per project for billing
· Enter and maintain tank movement records in Excel spreadsheet and file hard copies
· Manage tank monitor back-office operations and back-office fees and records
· Help analyze parts and equipment prices, shop for best price
· Help maintain and reorder all tank related pumps and equipment
· Support compliance with applicable environmental laws and regulations pertaining to storage tanks
· Help with calls, emails, etc. from customers, inter-company personnel, salesmen and vendors
· Performs other related duties as assigned.
- Qualifications and Education Requirements
· High school diploma or equivalent
· Must be at least 18 years old
· Must possess a valid driver’s license
· Must be able to meet the physical demands of the job (including such tasks as lifting, climbing, pushing, stooping, squatting, bending, pulling, carrying, etc.)
· Customer service experience helpful
· Ability to operate applicable computer hardware & software, i.e. Microsoft Office
· Ability to follow verbal and written instructions with minimal supervision
· Must pass a pre-employment drug screen, and any other drug screens during employment
